Position Title: Campus Store Manager/Administrative Assistant to the Dean of Students

POSITION SUMMARY

The Campus Store Manager/Administrative Assistant to the Dean of Students oversees daily Campus Store operations while providing administrative support to the Dean of Students. Responsibilities include textbook and inventory management, customer service, scheduling, communications, records management, project coordination, and office support. This position requires strong organizational skills, professionalism, confidentiality, and a commitment to the mission and values of Hannibal-LaGrange University. The employee must possess a vibrant personal Christian faith, demonstrate evidence of Christian conversion, and be actively involved in an evangelical church, preferably Southern Baptist.

DUTIES AND RESPONSIBILITIES

Campus Store Management (Approximately 20 Hours Per Week)

  • Coordinate faculty textbook adoptions and maintain textbook records.
  • Manage textbook information in university and vendor systems.
  • Order, receive, price, display, and inventory textbooks, apparel, gifts, and merchandise.
  • Supervise student employees.
  • Process sales transactions and reconcile receipts.
  • Verify orders and process invoices.
  • Coordinate graduation regalia ordering and distribution.
  • Process approved student account charges.
  • Maintain store policies, inventory records, and operating procedures.
  • Monitor inventory levels and recommend purchasing decisions.
  • Support campus events related to store operations.
  • Provide excellent customer service to students, faculty, staff, alumni, and guests.

Administrative Assistant to the Dean of Students (Approximately 20 Hours Per Week)

  • Serve as administrative assistant to the Dean of Students.
  • Manage calendars, appointments, meetings, and correspondence.
  • Prepare reports, letters, presentations, and other documents.
  • Maintain confidential records and files.
  • Track projects, deadlines, and follow-up actions.
  • Coordinate meeting logistics, agendas, and minutes.
  • Assist with communications to students, parents, faculty, staff, and external stakeholders.
  • Arrange travel and other logistical needs.
  • Monitor budgets, purchasing, reimbursements, and expenditures.
  • Maintain office databases, records, and reports.
  • Support departmental initiatives and special projects.
  • Exercise sound judgment and strict confidentiality.
  • Perform other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

EDUCATION AND EXPERIENCE

  • Associate's degree required; bachelor's degree preferred.
  • Proficiency with Microsoft Office and database systems required.
  • Administrative support, office management, retail, or related experience preferred.
  • Customer service, cash handling, and inventory experience preferred.
  • Supervisory experience preferred.
  • Accounting, bookkeeping, or budget management experience preferred.
