Position: Career and College Readiness Facilitator
Location: Chelmsford High School
Reports to: Career and College Readiness Facilitator
Work Year: 190 Days (180 school days + 5 days after the last student day + 5 days prior to the start of the school year)
Chelmsford High School is seeking a part-time Career and College program Clerk to assist the Career and College Readiness Facilitator With administrative, clerical, and communication duties. This grant-funded, single-school-year ''Ole supports key initiatives such as Early College, Concurrent Enrollment, and Innovation Pathways. Running from October ISt through five days after the conclusion of the school year in June 2027, thc position requires 3-5 hours of work per day during regular school hours and operates strictly in person, with no remote options available. Under the PSP contract, this annualized 190-day role offers a total salary of $14,707 ($20.50 per hour), paid in equal bi•weekly installments through June (prorated by start date). Benefits include paid holidays, winter break, and accrued personal and sick leave.
Job Summary:
Provides administrative, clerical, and communications support to the Career and College Readiness Facilitator in implementing the
district''s College and Career initiatives, including Early College, Concurrent Enrollment and Innovation Pathways. Assists With
registration logistics, recordkeeping, communications, data entry, and event coordination, and serves as a day-to-day procedural contact among students, families, counselors, faculty, college partners, and district administrators. is a Support position with no independent decision-making authority over program design, budget, curriculum pathways, or district policy - those responsibilities remain With the Facilitator.
Essential Duties and Responsibilities:
- Assist the Facilitator with administrative/clerical tasks to plan, coordinate, and evaluate programs.
- Assist in coordinating logistics of Concurrent Enrollment and Early College registration, enrollment, and scheduling.
- Serve as day-to-day contact for students'' families on deadlines, forms, and process questions; refer policy questions to the Facilitator.
- Assist students With college applications, registration forms, placement requirements, and documentation.
- Track student eligibility, enrollment status, and completion requirements; report findings to the Facilitator.
- Maintain accurate student records, enrollment data, transcripts, and program databases per district/college policy.
- Process course registrations, withdrawals, grade reporting, and transcript requests with partnering colleges; flag discrepancies to
the Facilitator.
- Develop and distribute informational materials, registration guides, timelines, and communications as directed by the Facilitator.
- Assist in planning/facilitating information sessions, parent nights, orientations; and recruitment events.
- Provide counselors with accurate program information to support their advising of students.
- Compile data on participation, enrollment trends, and outcomes for the Facilitator''s use in grant reporting/evaluation.
- Assist with data collection, State reporting, grant documentation, and compliance under the Facilitator''s direction.
- Monitor administrative deadlines and notify the Facilitator Of compliance concerns.
- Assist in preparing reports, presentations, and School Committee materials.
- Troubleshoot routine registration/enrollment issues; escalate unresolved or policy-level issues to the Facilitator.
- Maintain confidentiality Of student records and district policies.
- Provide administrative support for grant-funded College and Career initiatives.
- Attend meetings with district staff, college representatives, and community partners as assigned.
- Perform other clerical/administrative duties as assigned by the Facilitator or designee.
Responsibilities Prior to the School Year (5 Days):
- Assist with administrative preparation for the upcoming year; support Early College/Concurrent Enrollment registration logistics.
- Verify eligibility documentation and help finalize enrollment lists under the Facilitator''s direction.
- Update databases, prepare program materials, coordinate scheduling with partnering colleges, and prepare orientation
communications.
- Assist With planning meetings and staff training related to programming.
Responsibilities Following the School Year (5 Days):
- Assist in completing end-of-year reporting and program evaluation.
- Complete enrollment reconciliation and required state/grant reporting under the Facilitator''s direction.
- Archive student records, update databases, and coordinate final transcript requests and grade verification.
- Assist in compiling data for outcome evaluation and next-year improvement planning.
Qualifications:
- Bachelor''s degree required.
- Experience in education, student services, higher education, counseling support, or program coordination preferred.
- Experience With student information systems and data management.
- Strong organizational, communication, and project management skills; ability to manage multiple priorities and deadlines.
- Ability to work collaboratively with students, families, educators, higher education partners, and community organizations.
- Proficiency with Google Workspace, Microsoft Office, and student information systems.
- Ability to maintain confidentiality and exercise sound judgment.
- Knowledge, Skills, and Abilities
- Knowledge of college admissions, registration, dual/concurrent enrollment, or Early College programming preferred.
- Familiarity with Massachusetts Early College initiatives is desirable.
- Ability to interpret and communicate program requirements and policies as directed by the Facilitator.
- Strong interpersonal and organizational skills.
- Ability to compile data and prepare reports for the Facilitator''s review.
- Ability to work independently on clerical/administrative tasks while supporting Facilitator-established priorities.
Terms of Employment
- Work Year: 190 Days (180 school days + 5 days following the school year + 5 days prior to the start of school). 17.5 hours a week, $20.50
- In-person position only. No remote option.
- The contract is for one school year. The position is grant funded.
- Salary established by the School Committee and applicable collective bargaining agreement.
