Job Duties:
The Case Worker Assistant performs a variety of advanced administrative duties requiring sound judgment & discretion in the operation of OHAN duties, Central Registry upkeep, & appeals. Analyze & interpret current & emerging state & federal mandates to perform varying tasks that have significant impact on the operations of the office & the performance of the OHAN unit & the Child Welfare Services Safety Division. Use knowledge of operations, programs & general best practice office procedures to maximize work performance & output for OHAN. Act as liaison to the Office of General Counsel for processing of information and communications for Fair Hearing Appeals for indicated OHAN cases.
In accordance with DSS policy, Agency mission and GPS practice model, employee will assist the OHAN Manager with monitoring data for three or more investigations within six months of foster homes and group facilities for the Safety Response Team process. Documents SRT review outcomes, recommendations, and completion in CAPPS as submitted by SRT participants. Tracks SRT performance at six months and twelve months intervals.
Responds to requests for appeals from the Office of Administrative Hearings with required documents. Coordinates with OAH, the Office of General Counsel and the OHAN Manager and the Directors Designee to initiate Interim Reviews, track the appeal process, and provide case information within established time frames to appropriate parties. Ensures indicated files are complete. Enters court orders and other court documents in CAPSS.
Generates and disseminates notification Parental letter and preliminary within three business days of determination to parties for indicated and unfounded decisions and assists investigators with notifications in statutorily mandated time frames. Tracks receipt of certified responses. Confirms placement of indicated persons in the Central Registry of Abuse and Neglect and removes those names when appropriate.
Assists OHAN Manager with requests from the Office of General Counsel, including Freedom of Information Requests and cases litigated through the Insurance Reserve Fund (IRF), for OHAN case files and other requests for information.
Responsible for the complex procurement of goods and services. Plans and directs daily and long-range procurement functions. Coordinates with OHAN staff to process supplies according to procurement requirements, directs the purchases and maintains the storage of inventory and supplies.
Supports the OHAN Case Worker Assistants for leave coverage.
Purges screened out referrals and unfounded case records; maintains indicated case reports indefinitely.
Maintains an active routine of self-care and pursues support when necessary to minimize the threat of secondary trauma to physical and mental health. Understands the impact of trauma on families and secondary trauma on child welfare staff and applies principles to support families and staff.

Minimum and Additional Requirements
A High School Diploma and two (2) years clerical experience.
An Associate Degree or higher may be substituted for all work requirements.
Preferred Qualifications
Selected positions may require the ability to type at a correct rate of 35 words per minute.
