Cash Application Coordinator
Position Summary
The Cash Application Coordinator is responsible for accurately applying customer payments received by check, wire transfer, and credit card to customer accounts in SAP. This position maintains appropriate payment documentation and supporting records for future reference and audit purposes.
The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced, deadline-driven environment where accuracy is essential.
Key Responsibilities
- Obtain and maintain payment information from the bank for checks received through lockbox services.
- Accurately process customer payments in SAP, including manually applying payments and resolving exceptions from automated cash application processes.
- Work closely with the Treasury Department and Credit Manager to ensure payments are properly applied and accounts are reconciled by month-end.
- Process credit card payments through automated and manual processes.
- Communicate with customers and customer service representatives to obtain payment information and provide receipts when needed.
- Apply customer prepayments to orders in SAP and remove delivery blocks when appropriate.
- Research and provide payment remittance documentation for internal and external audits.
- Process and return checks that cannot be deposited or applied, including stale-dated checks.
- Work closely with Credit Representatives to research unidentified payments and resolve payment-related questions.
- Properly code and adjust non-AR checks to the appropriate general ledger accounts, profit centers, and cost centers.
- Process tax adjustments to the appropriate general ledger accounts when tax exemptions are received.
- Maintain accurate documentation and supporting records for all payment and accounting adjustments.
- Perform additional accounting and administrative duties as assigned.
Qualifications
- High school diploma or GED required.
- Previous experience is not required; entry-level candidates are encouraged to apply.
- Basic proficiency with Microsoft Office, Outlook, and internet-based applications.
- Basic understanding of mathematics and accounting concepts.
- Strong attention to detail and accuracy.
- Good organizational, analytical, and problem-solving skills.
- Effective verbal and written communication skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Ability to work independently as well as collaboratively with internal teams and external customers.
- Self-motivated and dependable with a strong focus on accuracy and follow-through.
- Ability to work overtime as needed.
Work Environment & Physical Requirements
- Regularly required to sit, stand, walk, communicate, and use visual and auditory abilities.
- Occasionally required to lift and/or move items weighing up to 10 pounds.
