Description

Responsibilities

  • Oversee and assist in the operation of Finance office, ensuring a positive, professional image. This included greeting staff, visitors and callers, handling their inquiries, and directing them to the appropriate people according to their needs.
  • Receive and document monies coming into central business office through district receipting system (InTouch) from internal and external sources. Generate cash receipt reports and make appropriate deposits.
  • Maintain up-to-date knowledge of multiple cash receipting applications (InTouch, MySchoolBucks, Prime Childcare, etc). Provide parents and sites technical assistance and support for cash receipting applications and online debit/credit transactions. Ensure accuracy,

timely reporting, and compliance with strong internal control practices. Analyze

reported problems, diagnose possible causes and determine appropriate solutions in a

timely manner.

  • Download and verify ACH, credit/debit card, and other payments daily through multiple software programs and upload payments into Business Plus. Verify budget number validity and

batch totals.

  • Coordinate and manage multiple processes related to the collection of funds owed the District (accounts receivable, collection, bankruptcy). Maintain high degree of confidentiality while working to resolve issues with debtors. Report appropriate

information to sites and ensure compliance with district policies and procedures.

  • Reconcile and track all monies coming into the District to ensure accuracy of deposits.
  • Communicate and verify daily with Spokane County Treasurers office for all District deposits. Coordinate internal dollar transfers between funds, programs and/or sites. Prepare journal entries as needed.
  • Maintain district Revolving Fund Checking Accounts, including authorizations and reconciliation.
  • Manage the handling, security and check out requirements of District Travel and Procurement Credit Cards. Explain appropriate procedures to staff.
  • Generate invoices. Prepare, review, and mail monthly customer statements. Monitor Accounts Receivable reports and follow up as necessary. Issue delinquent letters to applicable customers per district policy, forwarding to collection agency as needed.
  • Serve as a backup for the Chief Financial Officer Executive Assistant for payroll, purchasing, inventory, and equipment.
  • Manage the Administration Building monthly parking and bus pass programs.
  • Maintain and update department information on district website (School Wires).
  • Assist District departments with developing protocols for the collection of payments for district offered workshops, item sales, and events. Provide cash receipting, accounting assistance and preparing accounts receivable invoices where needed.
  • Coordinate district-wide pick up schedule with District armored courier company.
  • Other related duties as assigned.

Qualifications

  • Demonstrated ability and aptitude to perform the responsibilities listed.
  • High school diploma or equivalent; additional related business course work preferred.
  • Minimum three years or more of successful work experience; two years in a school district position using similar skills preferred.
  • Three or more years of successful experience in managing and coordinating a busy office environment in a professional and courteous manner.
  • Demonstrated record keeping skills. Ability to work accurately with cash. Ability to prioritize and organize daily work efficiently and meeting timelines.
  • Demonstrated ability to utilize a variety of software programs such as Business Plus, InTouch, MS Word and Excel, Payroll and Outlook and Spokane Public Schools specific software applications preferred.
  • Typing skills - 40 words per minute accurately
  • Knowledge of office equipment including, computers, copier, scanners, 10-key calculator and fax machine.
  • Demonstrated successful experience developing and maintaining positive and professional working relationships with a diverse group of students, staff, and community in a confidential manner.
  • Ability to provide excellent customer service to the public and staff that come to the cashier counter or phoning for assistance in making payments or requesting information. Relates positively to youth and adults of varying socioeconomic, cultural and ethnic backgrounds.

Physical/Mental/Motor Demands:

While performing duties of this position, the employee experiences frequent sitting, standing, walking, pushing, pulling, stooping, kneeling, crouching, reaching, handling, and repetitive fine motor activities. Hearing and speech to communicate in person, via video conference and computers, or over the telephone. Mobility to work in a typical office setting and use standard office equipment. Stamina to remain seated and maintain concentration for an extended period of time. Vision: Frequent near acuity, occasional far acuity, and color vision. Vision to read printed and online materials, computer screens, or other monitoring devices. Strength is generally sedentary/light - exert force up to 20 lbs., occasionally; 10 lbs. frequently; negligible force, constantly.

Work Environment

Climate-controlled office setting with temperatures ranging from mild to moderate cold/heat. Exposure to noise levels ranging from moderate to loud for occasional to frequent time periods.

While performing the duties of this position, the employee often performs routine work. The employee frequently exercises flexibility (ability to shift from one task to another). The employee frequently works within time constraints and maintains attentiveness intensity. The employee is frequently involved in social interactions which require oral and written communication.
