Conference Support SpecialistSchedule: 20 hours per week, Monday through Friday, 7:00 AM to 11:00 AM, with every other Friday off under a 9/80 work schedule. Overtime opportunities may be available to support evening events and receptions.Required EducationHigh School Diploma or equivalentRequired Qualifications1-2 years of experience in hospitality, events, customer service, facilities support, or a related fieldExcellent communication and customer service skillsStrong attention to detail and organizational skillsAbility to manage multiple tasks and priorities simultaneouslyAbility to work independently and collaboratively within a team environmentAbility to lift up to 25 poundsAbility to stand and walk for extended periodsReliable attendance and punctualityAbility to support event setup and hospitality services in a fast-paced environmentPreferred QualificationsExperience supporting conference rooms, meetings, or corporate eventsExperience coordinating catering servicesExperience managing supply inventoriesExperience working in customer-facing corporate environmentsJob SummaryThe Conference Support Specialist provides hospitality, catering, and meeting support services to ensure a professional and welcoming experience for employees, customers, and visitors. This role is responsible for conference room setup, catering coordination, beverage service, inventory management, and maintaining clean and organized event spaces. The ideal candidate is dependable, detail-oriented, and service-focused, with the ability to adapt to changing priorities and support multiple events throughout the workday. This position plays a critical role in the successful execution of meetings, conferences, and special events.Job DutiesCatering SupportReceive catering deliveries and transport them from the lobby to meeting locationsSet up food and beverage service for meetings and working mealsCoordinate and oversee catering setup for large events with 75+ attendeesAssist with event breakdown and cleanup following meals and eventsSupport breakfast, lunch, and occasional evening event functionsBeverage ServicePrepare and maintain coffee service in designated common areasBrew and replenish coffee as neededSet up hot water service for teaPrepare and replenish ice water stationsMonitor beverage stations throughout events and meetingsConference Room SetupSet up conference rooms and meeting spaces to meet event specificationsArrange tables, chairs, lecterns, registration areas, and presentation spacesConfigure modular meeting spaces for training sessions, conferences, and customer meetingsSupport events accommodating up to 200 attendeesInventory ManagementMonitor inventory levels for beverage and hospitality suppliesMaintain accurate inventory recordsNotify appropriate personnel when supplies require replenishmentEnsure supplies are organized and readily availableFacility SupportMaintain clean, organized kitchens, storage rooms, and meeting spacesAssist with room resets following meetings and eventsEnsure hospitality equipment and work areas remain presentable and professionalCommunicationParticipate in daily planning and coordination meetingsCommunicate event setup requirements and changes effectivelyCollaborate with internal teams to ensure successful event executionOnly those lawfully authorized to work in the designated country associated with the position will be considered.
