The Willcox is seeking an experienced, hands-on, and highly organized Catering Manager to oversee the execution of our catered events and private functions.
This is an event operations position, not an event sales position. Our Sales Manager is responsible for booking events and working with clients during the sales and planning process. The Catering Manager is responsible for taking the finalized event details and ensuring each function is properly set, staffed, executed, and broken down according to The Willcox's standards.
The ideal candidate is a strong leader who enjoys being on the floor, directing a team, solving problems in real time, and making sure every detail of an event is executed properly.
Responsibilities
- Review Banquet Event Orders (BEOs) and event details prior to each function.
- Coordinate with the Sales Manager, culinary team, restaurant management, and other departments to ensure the team is prepared for each event.
- Oversee the complete setup of event spaces, including tables, chairs, linens, place settings, bars, buffets, displays, and other event requirements.
- Ensure event spaces are set accurately and on time according to the BEO and floor plan.
- Assign duties and provide direction to banquet and catering staff.
- Conduct pre-event meetings with the service team to review timing, menu, service expectations, and special requests.
- Supervise food and beverage service throughout events.
- Serve as the operational point person during catered functions.
- Monitor timing and coordinate closely with the kitchen to ensure smooth and properly paced service.
- Maintain The Willcox's standards for service, presentation, cleanliness, and hospitality throughout every event.
- Anticipate guest needs and quickly resolve any issues that arise during a function.
- Coordinate event transitions, room flips, and changes when multiple functions are scheduled.
- Oversee the breakdown and cleanup of event spaces following each function.
- Ensure tables, chairs, equipment, linens, glassware, and event supplies are properly returned and stored.
- Inspect event spaces after breakdown to ensure they are clean, organized, and ready for the next function.
- Monitor banquet equipment and supplies and communicate replacement or inventory needs to management.
- Assist with scheduling and training banquet and catering employees.
- Help develop and maintain consistent banquet service procedures and standards.
- Ensure proper handling of alcohol and compliance with applicable food safety and beverage regulations.
Qualifications
- Previous banquet, catering, restaurant, hotel, or event-management experience preferred.
- Previous supervisory or management experience strongly preferred.
- Strong leadership skills and the ability to direct a team in a fast-paced environment.
- Excellent organizational skills and attention to detail.
- Ability to read and accurately execute BEOs, floor plans, and event timelines.
- Strong communication and problem-solving skills.
- Professional appearance and demeanor.
- Ability to remain calm and organized while managing multiple priorities.
- Must be comfortable working hands-on alongside the team when needed.
- Ability to work evenings, weekends, holidays, and varying schedules based on the event calendar.
- Ability to lift, move, and assist with event equipment, tables, chairs, and supplies as necessary.
The Person We're Looking For
We're looking for someone who takes ownership of an event from the moment setup begins until the last table is broken down.
You should be someone who notices the details — whether a room is set correctly, the staff is prepared, dinner service is staying on schedule, or something needs to be addressed before the guest ever notices it.
This position requires a manager who is comfortable leading from the floor, working alongside the team, and making sure every event reflects the level of service and hospitality expected at The Willcox.
