Job Description

The Catering Service Administrative Assistant provides internal administrative and operational support to the catering management team. This role focuses on organizing event documentation, preparing materials for service teams, and supporting staffing and onboarding processes. This position plays a critical role in ensuring efficient, behind-the-scenes execution of catering operations.

Essential functions and responsibilities of the position may vary by Aramark location based on client requirements and business needs

Job Responsibilities

  • Prepare, print, and organize Banquet Event Orders (BEOs) and related event documentation
  • Assemble and distribute event packets for catering staff and management
  • Maintain accurate and organized filing systems for event paperwork
  • Monitor callout log and lateness and ensure proper disciplinary action is prepared for delivery before their next shift.
  • Draft and track disciplinary documentation as needed
  • Assist with creating signage and labels for food items and event displays
  • Ensure all printed materials are accurate, clearly formatted, and ready in advance of events
  • Support catering managers with administrative event setup needs
  • Assist with creating and maintaining schedules for hourly catering staff
  • Track staffing needs and availability in coordination with catering leadership
  • Update schedules and communicate changes internally as needed
  • Coordinate interview scheduling for prospective catering employees
  • Coordinate with HR for proper employee onboarding and record maintenance
  • Provide general administrative support to the catering management team
  • Help streamline internal processes to improve efficiency and organization
  • Support special projects and operational tasks as assigned

Qualifications

  • High school diploma or equivalent (Associate's or Bachelor's degree preferred)
  • Previous administrative experience required (hospitality or catering experience a plus)
  • Strong organizational and document management skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment
  • High attention to detail
  • Strong time management and organization
  • Ability to work independently and as part of a team
  • Clear internal communication skills
  • Discretion and professionalism with sensitive information
  • Adaptability and reliability
  • May require flexible hours, including occasional evenings or weekends, depending on scheduling needs.
