JOB GOAL:

GENERAL JOB SUMMARY:

Under limited supervision, performs student support and general office work at the administrative support level. This includes, but is not limited to coordination of concurrent enrollment and other college credit classes, continuing education activities, routine correspondence, providing student assistance and general software support, and maintaining confidential student and center records. A high degree of independent judgment and collaboration with other college employees and departments is expected. This individual must possess the ability to work as a member of a team providing a high level of front-line customer service. This position may require working up to two evenings per week and other work hours as assigned to accommodate the Center's hours and operations.

DUTIES/RESPONSIBILITIES:

  • Contributes in the scheduling and promotion of concurrent enrollment offerings.

  • Builds concurrent enrollment section offerings, onsite, and/or regional center for high school partnership offerings.

  • Assist with scheduling and supervising building personnel, and work study students.

  • Trains new office building personnel and work study students.

  • Assist with budgets, CCHS district billing, and process payroll for credit and non-credit offerings.

  • Assist with accounts payable, purchase orders and monitoring of department expenses.

  • Works in multiple software systems for student and center support: Recruit, Dual Enroll, Victor Unified Client, and Colleague.

  • Supports concurrent enrollment students as it relates to assistance with the application process, processing and approving registrations, distribution of materials, student orientation, and processing course withdraw requests.

  • Provides responsive and timely customer service to partner school districts.

  • Supports students and community members as it relates to continuing education registrations.

  • Administers college credit online and high school completion HISET testing.

  • Serves as a liaison for all partnership activities, including community, college, and high school partnerships.

  • Monitor and schedule routine building maintenance.

  • Function as an overall point of contact for the center, especially in absence of professional personnel and/or director.

  • Perform other related work duties as assigned.

  • Possess thorough knowledge of office methods and procedures, office equipment, and telephone techniques.

  • Ability to access, input, and retrieve information from a computer for word-processing, data base information and mainframe.

  • Ability to work efficiently and effectively in an atmosphere of frequent interruption.

  • Possess knowledge of and have the ability to make decisions consistent with, college policies and procedures.

PHYSICAL ACTIVITIES WITH/WITHOUT REASONABLE ACCOMMODATION:

Position involves working in an office setting. Occasional (10-33%) standing, pushing, pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work. Constant (67-100%) sitting, walking, repetitive motion, talking and hearing. May travel to main campus facilities, off-campus facilities, and schools and businesses to meet with College and community personnel occasionally (12-33%).

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalency

  • Any combination of three years of full-time office experience or an appropriate Associate degree.

  • Must have at least one year experience using word processing/microcomputer equipment.

  • Must have a valid driver's license and own transportation.

PREFERRED QUALIFICATIONS, LICENSES, CERTIFICATIONS, OR REGISTRATIONS:

  • Will certify to meet the requirements of the Occupational Safety and Health Administrations (OSHAs) Blood borne Pathogen Standard.
