    TITLE: CENTRAL OFFICE SECRETARY

    Qualifications:

    • High school diploma or equivalent training.
    • Knowledge of technology, spreadsheets, and data systems and efficient office procedures.
    • Bilingual preferred.
    • Must demonstrate success in working as a member of a team and ability to manage multiple supervisors simultaneously.
    • Must have effective and strong communication skills (orally and written).
    • High confidentiality and professionalism.
    • Deadline-driven and detail-oriented with strong organizational systems.
    • Working knowledge of spreadsheets and data systems.
    • Comfort communicating with families in crisis.
    • Required criminal history check and proof of U.S. citizenship or resident alien status.

    Reports to: Director of Data, Planning, Research & Evaluation (DPRE) or designee

    Job Goal: The Central Office Secretary also serves as the front office representative of the Central Office, acting as the first point of contact for visitors, staff, families, vendors, and community members. This individual represents the district with professionalism, discretion, and warmth, ensuring that all interactions reflect the standards and expectations of Bound Brook School District. The role requires the ability to manage front desk operations while balancing high-level administrative responsibilities across three departments. This role also requires discretion, organization, initiative, regulatory awareness, and the ability to support student-centered work while managing complex operational systems.

    Performance Responsibilities:

    • McKinney-Vento & Student Support (Primary Focus Area)

    • Support the McKinney-Vento Liaison (Director of DPRE) with documentation and compliance.

    • Maintain confidential student files in accordance with FERPA.

    • Track student absenteeism reports and generate weekly summaries.

    • Assist with outreach coordination for families experiencing housing instability.

    • Coordinate pantry logistics, donation tracking, and family support scheduling.

    • Communicate compassionately with families while maintaining professional boundaries.

    • Data & Reporting (DPRE Support)

    • Run attendance and absenteeism reports from Genesis or district SIS.

    • Prepare weekly data review materials.

    • Assist with committee documentation (attendance, safety, HIB, BTAM, etc.).

    • Organize agendas and materials for weekly meetings.

    • Maintain document tracking systems.

    • Facilities Department Support

    • Process Purchase Orders.

    • Track inspections, licenses, certifications, and renewals.

    • Maintain a calendar of compliance deadlines (boilers, safety inspections, state requirements).

    • Manage work order tracking and scheduling coordination.

    • Prepare materials for Facilities Committee meetings and Board presentations.

    • Technology Department Support

    • Manage Frontline MyLearningPlan workflows for Technology and Facilities requests. Including, but not limited to tracking approvals and ensuring documentation is accurate, formatted, and submitted by deadlines.

    • Coordinate meeting scheduling and support calendar management for the Director of Technology.

    • Assist with technology committee documentation.

    • Governance & BoardDocs

    • Prepare and upload BoardDocs materials for all three directors.

    • Ensure documentation is accurate, formatted, and submitted by deadlines.

    • Coordinate committee meeting agendas and minutes.

    • Maintain organized records of Board approvals.

    • Central Office Front Desk & District Representation

    • Serve as the primary front desk presence for the Central Office.

    • Greet and assist visitors, families, staff, vendors, and community members.

    • Answer and direct incoming calls professionally and efficiently.

    • Manage incoming and outgoing district mail and deliveries.

    • Maintain visitor sign-in procedures and front office security protocols.

    • Coordinate building-related needs that arise at the Central Office.

    • Provide general information regarding district offices and direct inquiries appropriately.

    • Maintain a welcoming, organized, and professional front office environment.

    • Serve as a visible and positive representative the "face of the district" reflecting district values in all interactions.

    Other Job Functions:

    • Perform other tasks that may be assigned by the Superintendent.

    TERMS OF EMPLOYMENT: Full Time 12 Months

    EVALUATION: Performance of this job will be evaluated annually in accordance with state law and provisions of the board's policy on evaluation of non-certified staff.

    Non-Affiliated Staff:

    Salary: Based on years of experience ranging from NJ State Minimum Wage to 100,000.00+
