The Centralized Scheduler works under the supervision of the Director or Manager to schedule outpatient ancillary visits, the coordination of tests/procedures for Surgical Services, as well as Inpatient Discharge follow up visits. Schedules patient visits through the completion of electronic request order. Properly ensures patient safety by coordinating patient tests according to best practice. Clinical experience preferred (i.e. LPN, physician''s office personnel). This position has no direct physical contact with patients. Provides excellent customer service to both internal and external customers.

Skills and Abilities

Essential Technical/Motor Skills

  • Must be proficient in typing and computer skills.
  • Able to understand and operate office equipment to include computer, copier, fax, calculator, and telephone (including headset).

Essential Physical Requirements

  • Ability to operate equipment on continuous/repetitious basis such as computer, telephone, fax, calculator, and copier.
  • Job requires sitting mostly, walking and standing occasionally.

  • Ability to decipher complex scheduling issues, spell very well, read and decipher prep instructions for all callers.

  • Ability to communicate (hear and speak clearly) over the telephone, one-on-one, or in-group settings.

  • Ability to see and read for the purpose of a computer screen and various medical literate on a continual basis.
  • Ability to distinguish colors on computer screen.

Exposure to Hazards

  • Minimal.
  • Training requires on-site visits to the areas of service; to include Radiology, Cancer Center, Lab, etc.

Other Skills and Abilities

  • Limited exposure.
  • Receive calls from providers, patients, clinics or other hospitals to schedule procedure tests. Process calls with exceptional customer service skills (oral, written, and visual communications).
  • Schedule and arrange procedures and tests for all patients types; arranging various resources such as providers, rooms, equipment, etc. and provides prep, pre-procedure and post-procedure instructions averaging less than 2.5 minute talk time.
  • Coordinates for proper clinical sequencing of multiple tests, the facility and the service areas.
  • Reviews orders to ensure meets proper order criterias.
  • Create a new account number with required information such as diagnosis, indications, minimal history, admitting/ordering/and primary care physician, prompt for and record referral numbers and pre-certification numbers for various health insurance coverage. Question and document patient's condition according to various clinical screening questions (i.e. MRI).
  • Identify correct medical record number and records patient information (social security number, date of birth, etc) to maintain accurate Master Person Index.
  • Notifies security when incarcerated patient is scheduled.
  • Orders office supplies for department use.
  • Other duties as assigned

Education

  • H.S. Diploma - Required

Work Experience

  • 1 Year - Experience in Admissions or ancillary service department - Required
  • Typing skills minimum of 35 wpm. - Required
  • Clinical experience - Preferred

Licenses and Certifications

  • Licensed Practical Nurse (LPN) - State Licensure - Preferred Upon Hire

  • Travel to off-site locations may be required. - Required
