We are seeking a highly organized and detail-oriented Certifications Coordinator to manage and coordinate certification programs, documentation, renewals, audits, and compliance requirements. This position will work closely with employees, managers, certification bodies, regulatory agencies, and external vendors to ensure certifications remain accurate, current, and properly documented.
Compensation for this position is $50,000–$70,000 per year, depending on experience, certification-program knowledge, industry experience, and qualifications.
Key Responsibilities
- Coordinate the application, renewal, tracking, and maintenance of employee and organizational certifications.
- Maintain accurate certification databases, records, expiration dates, and supporting documentation.
- Monitor certification requirements and notify employees and managers of upcoming renewals or required actions.
- Prepare and submit certification applications, renewals, forms, and supporting documentation.
- Coordinate examinations, training, continuing-education requirements, and certification events.
- Communicate with certification bodies, professional organizations, regulatory agencies, and third-party providers.
- Verify credentials, licenses, training records, and certification status.
- Support internal and external audits by organizing certification and compliance documentation.
- Track continuing education credits, professional development requirements, and renewal deadlines.
- Research changes to certification standards, industry requirements, and regulatory guidelines.
- Prepare reports and status updates for management.
- Identify missing, expired, or incomplete credentials and coordinate corrective actions.
- Maintain confidentiality of employee and organizational records.
- Assist with developing procedures to improve certification tracking and compliance processes.
- Provide administrative support for compliance and professional-development programs.
Qualifications
- Associate or bachelor's degree in Business Administration, Human Resources, Compliance, Education, or a related field preferred.
- 1–3 years of experience in certification administration, compliance, credentialing, HR, training coordination, or a related field.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to manage multiple deadlines and certification renewal schedules.
- Proficiency with Microsoft Office, Google Workspace, spreadsheets, and database systems.
- Ability to handle confidential information professionally.
Preferred Qualifications
- Experience managing professional licenses, credentials, or certifications.
- Familiarity with certification or credential-management software.
- Experience coordinating audits or regulatory documentation.
- Knowledge of continuing education and professional-development requirements.
- Experience working with regulatory agencies, accreditation organizations, or professional associations.
- Project coordination or compliance experience is a plus.
