Position Overview:

Conference & Event Services (CES) is seeking motivated, detail-oriented students interested in gaining hands-on experience in conference and event management, customer service, and higher education administration.

The CES Student Assistant serves as the primary student support for the Director of Conference & Event Services, assisting with departmental administration, event planning and execution, operational projects, research and assessment initiatives, customer service, and the BookIt event management system. This position provides valuable experience in higher education administration, project management, and conference and event operations while supporting the mission of Conference & Event Services.

Primary Responsibilities:

Customer Service

  • Welcome and provide assistance to conference attendees, event guests, clients, and campus partners.

  • Respond to inquiries by phone, email, and in person.

  • Provide professional and timely customer service.

  • Direct questions to appropriate CES staff.

  • Maintain confidentiality of departmental information.

Event Planning & Operations

  • Assist with conference and event logistics.

  • Verify room setups and event spaces.

  • Prepare and distribute event materials, welcome packets, and event signage.

  • Coordinate event supplies.

  • Report facility or maintenance concerns.

  • Support conferences, summer programs, and special events.

Administrative & Operational Support

  • Assist with office operations and special projects.

  • Maintain electronic and paper records.

  • Prepare reports and organize departmental files.

  • Perform data entry and administrative support as assigned.

  • Prepare comprehensive event documentation for the Director, including event notes, agendas, run-of-show documents, event diagrams, operational checklists, and briefing materials.

BookIt & Data Management

  • Review reservations for accuracy, completeness, and consistency.

  • Identify missing information, discrepancies, and data quality issues.

  • Prepare and send client confirmations through the BookIt reservation system.

  • Create and update event diagrams and room layouts within Social Tables.

  • Submit and track BookIt work orders submitted to campus service providers.

  • Perform quality control reviews of reservation data and event details.

  • Communicate corrections, follow-up items, and recommendations to CES professional staff.

  • Assist with maintaining accurate reservation records and event documentation.

Research & Assessment

  • Conduct research on peer institutions and industry best practices.

  • Assist with departmental assessments and surveys.

  • Compile reports and summarize findings.

  • Support process improvement initiatives.

Required Qualifications:

  • Excellent organizational and time management abilities.

  • Attention to detail and accuracy.

  • Ability to manage multiple priorities.

  • Professional judgment and confidentiality.

  • Ability to work both independently and collaboratively.

  • Proficiency in Google Workspace and Microsoft Office (Word, Excel, Outlook, and PowerPoint).

Performance Expectations

Student Assistant is expected to demonstrate professionalism, reliability, initiative, and excellent customer service. Performance concerns will generally be addressed through coaching, feedback, and, when appropriate, a performance improvement plan. Position responsibilities may evolve based on departmental and operational needs.
