Overview

The College of Health and Human Sciences (CHHS) and Northern Illinois University (NIU) promotes health and well-being through scholarship that integrates teaching, research and service. The College comprises four schools that encompass 23 programs, three clinics and a Child Development and Family Center (CDFC) and partner with over 700 external practicum sites. Through our impressive array of programs, we prepare scholars, leaders and practitioners who enhance the lives of individuals, families and communities across the lifespan.

Position Summary

This is a part time position - 25 hours/week.

The Administrative Aide provides comprehensive administrative, human resource, fiscal, and curriculum support for assigned academic departments within the College of Health and Human Sciences. This position interprets and implements university policies, coordinates personnel and financial processes, maintains accurate records, analyzes data, and serves as a resource to faculty, staff, and campus partners to support efficient departmental operations.

Essential Duties and Responsibilities

Human Resource Functions

  • Responsible for maintaining and monitoring all digital personnel files
  • Acts as hiring manager for all hires (including additional pays and overloads), except for student workers and graduate assistants serving school-level functions
  • Prepares offer letters to faculty, instructors, and supportive professional staff employed by the college. Upon acceptance, paperwork is verified to ensure all necessary forms are included, properly completed and distributed
  • Prepares necessary search paperwork for positions
  • Coordinates the search and prepares candidate itineraries in consultation with search committee chair, prepares candidate(s) travel plans, evaluation forms, and compiles evaluation information into are port for the search committee
  • Coordinates efforts with community agencies to inform candidates of opportunities and lifestyles in community
  • Performs all payroll duties for the assigned grants and provides backup payroll duties for assigned units
  • Provides information about personnel changes (hires, promotions, terminations) to relevant systems

Purchasing

  • Responsible for all financial transactions and managing the purchases and purchase orders for assigned
  • Uses comparison shopping and judgement to find the best price of needed items to maintain fiscal responsibility
  • Maintains appropriate supporting documents to justify expenses
  • Supports and processes employee travel pre-approval paperwork and post-travel reimbursement vouchers for assigned

Administrative Support

  • Coordinates and supports business, fiscal, and administrative operations to ensure efficient day-to-day activities within the unit
  • Serves as a technical and administrative resource for faculty, staff, and campus partners by providing guidance on policies, procedures, and operational processes
  • Coordinates personnel related processes, including recruitment, onboarding, training, scheduling, and maintaining personnel records in collaboration with unit leadership and Human Resource Services
  • Assists with implementing and maintaining operational policies, procedures, and workflow improvements to support efficient business operations
  • Monitors budgets, reconciles financial transactions to ensure compliance with university policies and funding requirements

Minimum Required Qualifications (Civil Service)

  • High school graduation or equivalent

  • Any one or any combination totaling five (5) years (60 months) from the following categories:

  • college course work in business, finance, accounting or a related field:

  • 60 semester hours or an Associate's degree equals one (1) year (12 months)

  • 90 semester hours equals two (2) years (24 months)

  • 120 semester hours or a Bachelor's degree equals three (3) years (36 months)

  • Master's degree or higher equals four (4) years (48 months)

  • progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles
