PRIMARY PURPOSE
Execute daily priorities of the personnel security clearance office and assist in the administration of the CNA security program. This role is responsible for organizing and maintaining security documentation, managing personnel records, coordinating access control procedures, and ensuring efficient office operations. Support the Facility Security Officer (FSO) and Assistant Facility Security Officer (AFSO) in the daily operations of the organization's security program.
The Security Administrator I plays a key role in supporting compliance and facilitating communication within the security team and across the organization.
JOB DESCRIPTION AND/OR DUTIES
- Administer, track and maintain records of personnel security clearances using government system of record.
- Organize and manage department files, clearance rosters, and security-related paperwork.
- Prepare reports, memos, and briefings for FSO/AFSO review.
- Process visit requests, assist with badge issuance, visitor logs, and access level coordination.
- Prepare photo ID badges and coordinate access with relevant systems.
- Provide clear information and guidance to employees and consultants regarding security policies and procedures.
- Maintain Security department files and records, clearance periodic review roster, personnel security files, blank forms and supplies required by regulation and needed by the Security Department.
- Respond promptly to security-related inquiries.
- Help schedule and organize security briefings and training sessions.
- Support FSO/AFSO in compliance reviews and audits.
- Maintain inventory of security supplies and blank forms.
- Monitor CNA consultants who carry a security clearance to ensure they are properly identified in security system(s) with the appropriate clearance level.
- Assist in coordinating foreign visits to CNA. Coordinate with DON and US government security offices as required.
- Coordinate maintenance requirements for those who may need to work on classified or sensitive systems.
- Monitor and oversee service calls on the badge system as required.
- Assist in the review of material from both internal and external sources to determine security classification and handling requirements are accurate and adequate.
- Assist with physical security requirements to meet compliance requirements.
- Perform trusted downloads and file transfers between different data classifications. In order to perform this function, must be approved by the U.S. Navy to do so and have the ability to write to removable media.
- Perform other duties as required.
JOB REQUIREMENTS
Education: Bachelor's degree or equivalent combination of education and/or work experience.
Experience: Minimum 2 years of work experience in an administrative support or customer service role. Security experience preferred.
Skills: Must have proven customer service skills; strong organizational and record-keeping abilities; excellent attention to detail; computer literacy and proficiency; excellent oral and written communication skills; proficiency with Microsoft Office Suite and basic office technology; ability to prioritize and manage multiple administrative tasks; professional demeanor and customer service mindset. Receives predetermined work assignments with specific instructions. Work is closely managed.
Other: Must be able to obtain and maintain a Top Secret security clearance.
Remote/Hybrid Work Eligibility: This position is eligible for telecommuting or hybrid work arrangements at the discretion of the Supervisor. Employees may be required to work at CNA headquarters or other work locations resulting in changes to the scheduled telecommuting or hybrid work arrangements.
