The Chief of Staff / Executive Project Manager serves as the CEO's operational partner, ensuring key priorities, initiatives, and commitments are executed effectively across the organization. This position focuses on turning direction and new ideas into action by driving accountability, coordinating cross-functional efforts, removing obstacles, and ensuring important initiatives move forward.

The Chief of Staff is not a traditional project manager focused solely on schedules and status updates. Instead, this position is a highly organized executor who can take broad direction, create structure, align stakeholders, and drive progress across multiple priorities simultaneously. This position thinks creatively and build plans off of early stage ideas while adding structure and data driven support.

The Chief of Staff serves as an extension of the CEO's office, helping ensure decisions are implemented, commitments are fulfilled, and organizational momentum is maintained. This position works closely with leaders across Keller Williams to coordinate efforts, facilitate communication, and deliver measurable outcomes.

Executive Priority Management

  • Partner directly with the CEO to execute key business priorities and organizational initiatives
  • Translate CEO directives into actionable work plans with clear owners, timelines, and deliverables
  • Track progress against priorities and provide regular visibility into status, risks, and outcomes. Construct tracking systems to make this seamless and consistently applied
  • Ensure decisions made by the CEO and leadership team are communicated, assigned, and followed through to completion
  • Serve as a central point of coordination for enterprise-wide initiatives requiring executive oversight

Project and Initiative Execution

  • Lead and manage high-impact projects from initiation through completion
  • Build project plans, establish milestones, monitor progress, and drive accountability
  • Coordinate activities across departments to ensure work remains aligned and on schedule
  • Identify obstacles, dependencies, and execution risks and work proactively to resolve them
  • Maintain focus and momentum on critical initiatives while balancing changing business needs
  • Build reporting function to track status of initiatives at both a board level and in more granular detail for business leader dialogue

Meeting Facilitation and Follow-Through

  • Manage project working sessions
  • Develop agendas, organize materials, document key decisions, and track action items
  • Ensure commitments made during meetings are assigned, monitored, and completed
  • Establish effective operating rhythms that improve communication, alignment, and execution

Cross-Functional Coordination & CEO Communication

  • Work closely with leaders across all departments to ensure initiatives are progressing as planned
  • Facilitate communication between teams to remove roadblocks and improve collaboration
  • Coordinate efforts among internal stakeholders and external partners as needed
  • Ensure competing priorities are surfaced early and appropriately addressed
  • Prepare thoughtfully crafted communications to KW constituents in coordination with CEO

Accountability and Operational Excellence

  • Hold project owners accountable for commitments, deliverables, and timelines
  • Create reporting mechanisms that provide transparency into progress and performance
  • Escalate issues appropriately while offering practical solutions and recommendations
  • Continuously improve processes that support organizational execution and project delivery
  • Help create consistency and discipline in how strategic priorities are implemented across the organization

Required Qualifications

  • Bachelor's degree. Four (4) years of relevant education and work experience may be substituted for degree
  • A minimum of five (5) years of experience in project management, business operations, program management, chief of staff, or related execution-focused roles
  • Proven track record of successfully managing complex, cross-functional initiatives
  • Experience working directly with executive leadership and influencing outcomes across organizations
  • Exceptional project management, time management, and organizational skills, with the ability to simultaneously manage multiple priorities while maintaining attention to detail
  • Strong written, verbal, interpersonal, listening, and presentation communication abilities
  • Ability to demonstrate a high degree of flexibility and adaptability, with the ability to successfully work in a fast-paced environment
  • Experience handling confidential information
  • Polished and professional demeanor

Preferred Qualifications

  • Project Management Professional (PMP) certification or equivalent experience
  • A minimum of eight (8) years of experience in project management, business operations, program management, chief of staff, or related execution-focused roles
  • Residential real estate industry experience
  • Experience supporting a CEO, President, Founder, or executive leadership team
  • Experience in a fast-paced, growth-oriented organization

Knowledge

  • Advanced proficiency in Microsoft Office, including Excel, Word, and Outlook
