    Job Description

    Early-stage, mission-driven health tech startup is looking for a Chief of Staff to serve as the right hand to the Founder & CEO. This is a builder's seat at a fast-growing company and a chance to design the operating infrastructure the team will run on for years. In this role, you'll own the CEO's time and priorities, prepare them for the meetings that matter, and drive follow-through on company decisions. You'll also build the systems and operating cadence that let a small team scale, run the mechanics of fundraising and investor relations, own board logistics and governance, partner with a fractional CFO on budget and runway, manage HR operations and hiring, and build AI-powered workflows that give hours back to the team. Someone who is a systems builder with real startup range, equally comfortable assembling a board packet and unjamming a vendor invoice, and who brings structure to ambiguity without being asked twice. This is a remote role open to candidates based in California working Pacific hours, with occasional in-person travel within Southern California. 150-170K+ DOE + equity and benefits.

    Responsibilities:

    • Protect the CEO's time by owning her calendar, scheduling, and travel, filtering incoming requests, and actively shaping where her hours go against the company's top priorities.
    • Serve as a strategic thought partner, preparing the CEO for every meeting that matters with pre-reads, context, and decision framing, and following through on what comes out of them.
    • Draft emails, memos, briefs, and announcements in the CEO's voice, and maintain the single source of truth for company commitments, decisions, and open loops.
    • Build and maintain the internal systems, playbooks, and processes that let a small team scale, including documentation standards, knowledge base, and project tracking.
    • Run the company's operating cadence, including weekly leadership meetings, monthly business reviews, quarterly planning, and all-hands, owning the agendas, pre-reads, and follow-through.
    • Translate company strategy into goals and metrics, build the dashboards that make progress visible, and chase down inputs when numbers slip.
    • Run the fundraising process end to end, including investor pipeline and CRM, data room, diligence workflow, and close mechanics, and partner with the CEO on the deck and follow-up materials.
    • Author and ship regular investor updates, manage the cadence with existing and prospective investors, and support grant and foundation funding efforts.
    • Own board logistics, including the board calendar, board packet, pre-reads, minutes, and action items, and maintain corporate records and cap table hygiene in partnership with counsel.
    • Partner with the fractional CFO on monthly close, budget versus actuals, runway tracking, and expense management, and own vendor relationships, contracts, and procurement.
    • Run payroll, benefits, and HR administration, and manage hiring end to end, including job descriptions, sourcing support, interview scheduling, reference checks, and offer logistics.
    • Build an onboarding experience that gets new teammates productive quickly, and plan offsites and team gatherings that hold a distributed team together.
    • Design and deploy AI-powered workflows across fundraising, reporting, and internal operations, and administer the company's tool stack to automate manual work rather than absorb it.
    • Build compelling, visually strong decks and presentations for investors, partners, and press, and coordinate partner relationships, community events, and conferences.
    Qualifications:
    • Previous 7+ years of experience in a chief of staff, executive operations, business operations, or founding team role, ideally at a high-growth startup or venture capital firm.
    • Proven track record standing up operating infrastructure from zero, with processes, playbooks, and sources of truth you can point to.
    • Experience supporting a fundraise, with working knowledge of data rooms, diligence, investor pipelines, and what a strong investor update looks like.
    • Financially literate and comfortable with budgets, burn, runway, and a monthly close, with the instinct to catch when a number looks wrong.
    • Exceptional organizational skills and attention to detail, with impeccable follow-through and no reminders needed to close the loop.
    • Proactive and solutions-oriented with an instinct to anticipate needs rather than wait for direction.
    • Excellent written and verbal communication skills, with the ability to build polished materials and interact with stakeholders at all levels.
    • Thrives in ambiguous environments where the playbook is still being written, and moves fast without sacrificing quality.
    • High EQ, with the ability to read the room, understand the CEO's priorities without being briefed on them, and handle sensitive information with complete discretion.
    • Proficient with workplace and productivity tools such as Google Workspace, Slack, Notion, Canva, and expense and HR platforms, with daily AI tool use and an instinct to automate.
    • Genuinely motivated by improving youth mental health and able to hold difficult subject matter with maturity and care.
