Non-Supervisory.

GENERAL PURPOSE OF JOB:

This position serves as the front-line customer service representative for the Child, Family, & Adult Division and agency services. Performs a variety of routine and complex clerical, administrative, and senior meal service support duties.

ESSENTIAL JOB FUNCTIONS:

Administrative Support

  • Assists the front desk and lobby, provides general customer service, greets customers, answers and routes phone calls, provides program information, and answers questions.
  • Acts as Custodian of Records and coordinates records requests and provides redaction to ensure confidentiality.
  • Receives forensic interview files through Vidanex and files them in the Laserfiche case.
  • Processes incoming, outgoing, and relay mail.
  • Prints, copies, assembles, distributes, files documents, scans documents into Laserfiche.
  • Uses computer and software applications to accurately type and edit basic correspondence; enter data; retrieve data; search databases; conduct research; create documents; and send emails.
  • Distribute office supplies, packages, and mail.
  • Create “walk-in” reports of abuse/neglect from the public and caseworkers.
  • Completes referrals by collecting client information through access of statewide computer systems, local law enforcement, and outside county and state departments as needed.
  • Inputs and retrieves information from Trails, CAPS, CBMS, and other computer systems as required and maintains up-to-date information regarding various aspects of case record requirements.
  • Order Birth Certificates for children in DHS custody.
  • Research and obtain Household Numbers and MOE.
  • Send out monthly service verification lists to CCM providers and document information in CCM.
  • May assist with the onboarding of new employees.
  • Notarize documents such as acknowledgments, depositions, and signatures.
  • Monitors Older Adult Programs reservation line, prepares and processes meal site forms, and completes data entry.
  • Assist with the setup and breakdown of senior meal sites and serving of meals as needed.
  • Receives, responds to, documents, and prepares survey information for Program Managers and Executive Management Team.
  • Assists with special projects for all program areas. (i.e., gathering data and files for State audits, scanning in documents into Laserfiche.)
  • Acts as a backup for Case Manager’s I & II: cover hotline, disposition of referrals, send referrals to law enforcement or other entities, generates mandated reporter letters.
  • Scribe for division meetings as needed.
  • Submits maintenance work orders for Rifle Annex and 1102 Grand offices.
  • Adheres to policies, procedures, and record retention protocols established by the State and County.
  • Review all work products to ensure the highest level of quality and maintain a high level of confidentiality.
  • Performs other duties of a similar or related level as necessary or assigned.
