    General Description of Work

    Position Title: Program Coordinator-Copy, Print and Mail Services

    Classification: WFSE Classified (Class Code 107N)

    FTE: 1.0

    Schedule: 40 hours/week, Monday-Thursday 9 AM-6 PM, Friday 8 AM-5 PM. Occasional evening work may be required and scheduled in advance.

    Job Summary

    Coordinates and supports efficient, environmentally responsible, and cost-effective print, copy, and mail services for Whatcom Community College and community partners. Provides day-to-day program coordination, customer service, workflow management, and operational support to ensure high-quality services that meet departmental and customer needs.

    Reporting Structure/Supervisory Relationship

    • This position reports to the Program Manager B-Copy, Print and Mail Services.

    Responsibilities

    Essential Functions

    • Receives, prioritizes, and fulfills requests for copy, print, and bindery services.
    • Operates digital production equipment to produce high-quality, full-color and black-and-white digital prints using specialized print drivers and hard-copy originals.
    • Operates a variety of bindery equipment to complete finishing and production requirements.
    • Troubleshoots equipment and performs routine maintenance to support continuous and efficient operations.
    • Performs repetitive clerical duties associated with machine operations and production activities.
    • Prepares billing for print, copy, bindery, and related services provided.
    • Receives, monitors, and maintains inventory of supplies and materials for the copy center, as assigned.
    • Coordinates with clients, college staff, and other stakeholders to meet production requirements, service expectations, and deadlines.
    • Provides information by telephone, email, and front counter regarding available services, procedures, policies, and production requirements to college staff and external entities.
    • Maintains positive and professional internal and external client relationships through responsive customer service and effective communication.
    • Participates in college and public presentations to promote program services and educate customers about print, copy, bindery, and related services.
    • Assists in maintaining a clean, safe, organized, and efficient copy center environment.
    • Performs other related work of a similar nature and level.

    Lead Work Responsibilities

    • May direct the work of part-time hourly and student employees engaged in copy center operations.

    Working Conditions/Environment

    • This is primarily an indoor position, with occasional duties providing backup support to the mail center. Ability to stand for long periods of time and ability to safely lift up to 55 pounds are required. Internal training is required for the safe operation of cutting equipment.

    Qualifications

    Minimum Qualifications

    • High school graduation or equivalent.
    • Two years of full-time experience in customer service, copy center operations, print production, or a closely related field.
    • Familiarity with Adobe Creative Suite and Microsoft Office 365 applications sufficient to process print and copy jobs for campus and off-campus clients.

    OR

    • Equivalent combination education and experience sufficient for the person to perform the duties.

    Preferred Qualifications

    • Experience working in a community college, higher education, or other educational environment.
    • Experience providing customer service and coordinating print or copy projects in a deadline-driven environment.
    • The ability to take action to learn and grow.
    • The ability to take action to meet the needs of others.

    Licensure, Certification & Other Necessary Requirements

    • Employment contingent upon passing a criminal background check and sexual misconduct review.
    • Possession of a valid state of Washington drivers license and insurability.
    • Occasional travel to meetings, conferences and training sessions may be required.

    Salary

    Salary:

    • This is a full-time, classified, WFSE (Washington Federation of State Employees) represented position. Salary is Range 41, starting at Step C, $3,917.00 per month with periodic increments to $4,866.00 per month.

    Benefits Package:

    • The position comes with a full benefit package, including health, dental, life, long-term disability insurance and a retirement plan.

    • Accrues 8 hours per month of sick leave and 11.33 hours per month vacation leave with periodic vacation accrual increases based on longevity.

    • 11 paid holidays annually.

    • 1 personal holiday annually after 4 months of continuous employment.

    • 3 personal leave days annually after 4 months of continuous employment.
