Clerical Aide III
Position Type: Temporary
Schedule: M-F, 8:00 am - 5:00 pm
Assignment Length: Approximately 3-Months, possibly longer.
DESCRIPTION
We are seeking a detail-oriented and organized Clerical Aide III to join our client's Business Engagement Team. The ideal candidate will support the administration and coordination of our client's Work Experience (WEX) program by managing employer relationships, assisting with contract processing, and ensuring smooth onboarding and support for program worksites. This role is essential in helping participants gain meaningful work experience while maintaining positive partnerships with our employers.
Key Responsibilities:- Process contract renewals and new contracts for WEX worksites.
- Provide support to worksites, including information meetings, follow-ups, and technical assistance.
- Conduct worksite orientations and site visits to ensure compliance with program guidelines and safety requirements.
- Onboard all contracted worksites into the ADP timesheet system; maintain employer profiles and provide system training to supervisors.
- Maintain ongoing communications with worksites, including placement notifications and regular check-ins to address issues.
- Follow up with departments and employers to renew job placement opportunities and confirm availability.
- Collect and review worker requests/job descriptions, assisting employers in aligning positions with program requirements.
- Maintain a comprehensive worksite database including employer details, job descriptions, requirements, and available positions.
- Collaborate with program staff to support participant placement and develop new worksites.
- Maintain records of program contracts and insurance renewals.
- Promote the WEX program through materials updates, collaboration with communications staff, and participation in community employer events.
- Work to continuously improve services and processes to enhance the experience of participating employers and workers.
REQUIREMENTS- High School Diploma or equivalent; associate's or bachelor's degree preferred
- Strong organization and clerical skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite; experience with ADP or other timesheet systems preferred.
- Ability to manage multiple tasks and deadlines efficiently.
- Experience in customer service, program coordination, or employer engagement is a plus
