Our client is seeking a dedicated and detail-oriented Clerical Aide to provide essential clerical and administrative support to Housing Specialists within the Special Programs Unit. This position plays a critical role in supporting the review and processing of reexamination packets, generating vouchers through the MRI system, and maintaining accurate documentation to ensure the effective operation of the housing program.
Under direct supervision, the Clerical Aide will perform a variety of administrative and clerical duties in a fast-paced environment. The ideal candidate will be highly organized, customer-service focused, and proficient in Microsoft Office and database systems.
Key Responsibilities:
Provide clerical and administrative support to Housing Specialists.
Answer phone calls, respond to inquiries, and direct messages appropriately.
Review reexamination packets for completeness and accuracy.
Identify missing documentation and contact program participants to request required items.
Document and update participant information in the MRI (Management Resources, Inc.) system.
Generate vouchers through the MRI system.
Maintain and update tracking logs, including but not limited to:
Interim logs
Rent increase logs
Portability logs
Reexamination logs
Log, track, and manage Excel spreadsheets for reporting and monitoring purposes.
Prepare reports, notices, and correspondence ensuring clarity and professionalism.
Organize and assemble files for Housing Specialists to complete processing.
Ensure tasks are completed timely to maintain smooth program operations.
Assist with additional administrative duties as needed.
Ability to operate a computer and standard office equipment (printer, copier, calculator).
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
Strong Microsoft Excel skills required.
Ability to use Adobe Acrobat or related document software.
Ability to input and manage data in specialized database software (e.g., MRI system).
Ability to comprehend written information and communicate effectively both verbally and in writing.
Strong organizational skills with high attention to detail.
Ability to manage multiple tasks simultaneously in a structured environment.
Excellent customer service skills.
Ability to interact courteously and tactfully with coworkers and program participants.
