Administer and process assigned deceased account cases in strict alignment with established organizational procedures and regulatory guidance.
Review and validate incoming legal and financial documentation to guarantee completeness, accuracy, and compliance.
Maintain meticulously organized files and documentation to ensure constant readiness for internal and external audits.
Coordinate the preparation, assembly, and distribution of standard member correspondence and required forms.
Engage with joint account owners via phone using approved scripts, delivering compassionate, professional guidance regarding next steps and account transitions.
Produce and update standard letters and templates utilizing Microsoft Word.
Track case statuses, key milestones, and deadlines utilizing Excel and internal department tracking tools.
Ensure data integrity by inputting and maintaining accurate, up-to-date records within Salesforce and other internal databases.
Identify and escalate operational exceptions, account discrepancies, or complex member concerns to the project lead for resolution.
Uphold strict confidentiality and data security standards when handling sensitive member information and personally identifiable information (PII).
Perform additional clerical and administrative duties as assigned to support department workflow.
High school diploma or equivalent required.
3+ years of clerical or administrative experience preferred; experience in a financial institution or professional office environment is a strong plus.
Proficiency in Microsoft Office Suite, with a strong emphasis on Word and Excel.
Basic working knowledge of Salesforce or a similar CRM/database system.
Strong data entry and documentation skills with a high level of attention to detail and accuracy.
Effective organizational and time management skills, with the proven ability to multitask and manage an assigned workload.
Ability to work independently within established guidelines and follow written and verbal instructions in a structured environment.
Good verbal and written communication skills, including a professional and courteous phone manner.
