Position Overview
PROUD Academy is seeking a highly organized, dependable, and detail-oriented Part-Time Administrative Assistant to support the school during its pre-opening year and transition to operations. The Administrative Assistant will provide support across school administration, governance, procurement, communications, and organizational systems. The ideal candidate can manage recurring responsibilities independently, maintain accurate and organized records, and effectively prioritize multiple projects and deadlines.
Key Responsibilities
Administrative & Organizational Support
- Maintain organized electronic files, policies, records, and administrative documents.
- Support calendar management, scheduling, meeting preparation, and follow-up.
- Track deadlines, action items, approvals, and required documentation.
- Prepare, format, organize, and distribute documents and materials.
Board & Governance Support
- Support preparation and organization of board and committee meeting materials.
- Coordinate required public posting of meeting notices, agendas, minutes, and related materials.
- Maintain organized records of board materials, adopted policies, and governance documents.
Procurement & Financial Administration
- Support purchasing and procurement processes.
- Organize invoices, receipts, purchase documentation, and vendor records.
- Assist with tracking purchases, expenditures, approvals, and deliveries.
- Coordinate administrative documentation with vendors and financial partners as needed.
Communications & Website Support
- Assist with maintaining accurate and current information on the PROUD Academy website.
- Support preparation and distribution of organizational and school communications.
- Maintain calendars, contact lists, forms, and other public-facing information.
School Operations
- Support administrative tasks associated with PROUD Academys pre-opening requirements.
- Assist with organizing policies, procedures, compliance documentation, and operational systems.
Qualifications
Required
- Strong organizational and time-management skills.
- Excellent attention to detail and follow-through.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and deadlines.
- Proficiency with Google Workspace and other common digital productivity tools.
- Ability to handle confidential and sensitive information professionally.
- Commitment to creating a welcoming and respectful environment for all students, families, staff, and community members.
Preferred
- Previous administrative experience in a school, nonprofit, public agency, or similar organization.
- Experience supporting boards, committees, governance processes, or public meetings.
- Experience with procurement, invoicing, purchasing, or vendor coordination.
- Experience maintaining websites or supporting digital communications.
- Familiarity with Connecticut schools, nonprofits, public agencies, or public-meeting requirements.
Schedule & Compensation
- Part-time, approximately 10-15 hours per week.
- Salary commensurate with experience.
- Schedule established in coordination with the Head of School based on organizational needs.
- Some flexibility in scheduling may be available.
- Occasional evening availability may be required for Board meetings or school/community events.
