Job Description:

Senior Specialist: Equity & Multilingual Education (EME) Department

Description: Organize, schedule, and perform office functions for the Department; assist Director with department and program tasks; produce and coordinate District communications.

Essential Functions:

  • Manage, assist, and/or support District and special programming lotteries, including but not limited to planning, communications, marketing/advertising, and lottery processes.
  • Assist with program tasks related to English Learners, Dual Language program students, and World Language students including, but not limited to: the identification and documentation of services in data systems; parent notification/communication; and annual assessment reporting related.
  • Assist with program tasks related to students identified as homeless including but limited to: identification and documentation of services in data systems; communication with parents/families; communications with schools and other central offices/departments to ensure the identification, enrollment, and transportation.
  • Assist with the coordination of family and community engagement and outreach, including but not limited to planning, communications, logistics, staff, etc.
  • Provide oral interpretation and/or written translation for the Department and other Central Office Departments, as well as District communications; assist with the management of districtwide interpretation services and expenses.
  • Manage, update, audit/review, and create content for the Department and District website, social media, and communication systems.

Skills, Knowledge, and Capacities:

  • Organize, coordinate, and schedule as related to the administration of department programs and operations.
  • Prioritize and effectively carry out duties and assignments to ensure efficiency and meet deadlines.
  • Perform a multitude of clerical tasks that require comprehensive knowledge of school systems and frequent use of independent judgment.
  • Act as receptionist for the Department by answering phone calls, greeting visitors, and arranging meetings.
  • Communicate in a clear, effective, and kind manner while handling routine, sensitive, and/or confidential matters.
  • Serve as administrative assistant to Department leaders.
  • Serve as contact person and resource to staff, parents/families, students, and the greater community.
  • Input and maintain information/data into data information systems.
  • Compile and organize data/information needed for Department reports and presentations
  • Assist with District, State, and Federal reporting required by the Department for programming and finance/grants.
  • Handle routine correspondence independently.
  • Maintain confidentiality.
  • Create and process orders for materials, services, etc. in the financial data system; ensure delivery of materials and services ordered; adhere to Finance Office processes and timelines.
  • Attend meetings and professional development as required.

Minimum Qualifications:

  • High School diploma minimum; some college or Bachelors preferred
  • 2-3 yrs administrative assistant experience preferred
  • Must be bilingual English-Spanish
