Position: Clerical- Schools Financial Secretary SecondarySupervisor:PrincipalWork Site:Assigned School

Summary:Greet incoming visitors courteously, determine their needs, and assist them appropriately. Handle depositing, credit card documentation, and preparing financial reporting to the Kirtland Business Office. Maintain and control money taken in at the high school to include making deposits, maintaining backup for credit card purchases.

Essential Duties and Responsibilities:

  • Perform the usual office routine tasks associated with a school setting.
  • Assign and record all keys given out to school personnel.
  • Process and maintain requisitions and purchase orders within the school. This includes inventory, bids, activity and operational accounts.
  • Understand budget and line items for school and work with vendors as requested by the supervisor.
  • Code line items for school purchases.
  • Enter work orders.
  • Submitting time sheets for substitutes, custodians, lunch duty, after school classes, summer school, game workers, etc.
  • Check in/out all cash boxes for games, concession, fundraisers, dances and other school events.
  • Oversee the payment of officials for athletic events.
  • Oversee the timekeeping system to include maintaining all records, absences, and time adjustment forms.
  • Work with all clubs, coaches, and teachers on activity accounts.
  • Work with the purchasing department on high school purchases.
  • Comply with all Board of Education policies, administrative regulations, Public Education Department guidelines and local, state and federal laws.
  • Accept other responsibilities and duties assigned by supervisor
  • Support district and school efforts to keep CCSD safe and secure
  • Complete and comply with all required trainings annually
  • Adhere to NM Code of Ethical Responsibility of the Education Profession (NMAC 6.60.9.8)
  • Other duties as assigned, reasonably related to the scope of the position

Minimum Qualifications:

  • High School Diploma or GED
  • Basic computer knowledge for data and word processing and records management

Knowledge, Skills and Abilities:

  • Knowledge of Dine language, culture, and history preferred
  • Good communication skills and customer service skills
  • Basic computer knowledge for data and word processing and records management

Physical/Job Requirements:

Standing, sitting, walking, lifting, carrying up to 50 pounds, climbing, bending, reaching, kneeling, driving a vehicle, traveling long distances, writing, typing, word processing, reading, researching information, and effective communication skills.

Safety and Health:

  • Knowledge of universal hygiene precautions
  • Completed and cleared background check
  • Pass drug test if required for position
  • Knowledge and compliance with district and school Safety Plans

Equipment/Material Handled:

  • Multimedia equipment, including current technology
  • Equipment/materials relevant to the job responsibilities
