JOB TITLE: Clerk (10 month - 202)

RESPONSIBLE TO: Principal

JOB GOAL: To perform assigned clerical duties efficiently and effectively. To assist school faculty, staff, and other school system personnel in supporting student achievement and school operations. To promote positive public relations or the school and district, and provide support services for students, parents, staff and the public.

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent.
  • Three or more years of successful experience in comparable position, preferred.
  • Ability to meet the suitability criteria for employment and/or certification/licensure under the Alabama

Child Protection Act of 1999 and Act No. 2002-457.

  • Knowledge of general office procedures, electronic and manual filing and record keeping.
  • Demonstrated proficiency in oral and written communication skills.
  • Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety

of people and groups

  • Ability to work independently, prioritize tasks, and perform assignments as directed with accuracy,

attention to detail, and within established time frames.

  • Knowledge of the operation word processing and data entry software, and office computer applications.
  • Ability to organize files and data, prioritize tasks, and manage time efficiently.
  • Ability to remain calm and use good judgment in emergency situations.
  • Ability to exercise tact, courtesy, and initiative in dealing with students, parents, faculty, and the public.
  • Ability to use technology to communicate, to manage data, and to produce/submit required reports, correspondence, and/or school information.
  • Physical strength, mobility, dexterity, stamina, and acuity to perform job responsibilities.
  • Ability to engage in prolonged sitting.

DUTIES AND RESPONSIBILITIES:

  • Demonstrates support for the school system and its vision, goals and priorities.
  • Promotes effective public relations with parents and the general public.
  • Receives incoming calls and makes proper connection to office requested.
  • Answers routine, non-technical questions and refers other questions to proper departments.
  • Directs visitors to appropriate offices and provides routine information.
  • Performs clerical functions. Produces, records, and responds to, as directed, correspondence, research,

reports, notices, recommendations and materials needed for efficient office operations.

  • Communicates effectively and manages office communication processes as directed using telephones, voice mail, electronic mail, postal and/or delivery services, intra-campus delivery and other means as directed.
  • Coordinates with parent volunteers on scheduling for programs and activities. Maintains school calendar of events.
  • Schedules building use including monitoring buildings keys to maintain safety.
  • Troubleshoots problems with office equipment and calls for service as necessary.
  • Submits work orders and provides clerical assistance to faculty and staff as needed.
  • Researches information on PowerSchool Professional Learning, iNow and SearchSoft as directed.
  • Performs other finance, payroll, or registration duties as needed.
  • Answers questions and responds to requests from the general public; resolves issues or refers requests as appropriate.
  • Maintains accurate electronic and non-electronic filing systems of needed reports, correspondence, information, confidential records, records, schedules, and data as directed.
  • Obtains, gathers, organizes, and prepares for presentation pertinent data and information as needed.
  • Performs duties and represents the school in a courteous, positive and professional manner.
  • Assists with extracurricular and co-curricular activities as assigned.
  • Attends staff development programs, workshops, and conferences to improve professional performance and knowledge.
  • Maintains appropriate confidentiality regarding school/workplace matters.
  • Demonstrates initiative in identifying potential problems and/or opportunities for improvement in areas of responsibility.
  • Engages in professional growth and demonstrates professional ethics and effective leadership.
  • Serves on school and/or system committees, advisory boards, and/or task forces as needed.
  • Reports potential problems, unusual events, or work irregularities to appropriate administrative or supervisory personnel.
  • Responds to inquiries, requests, constructive feedback, concerns and/or complaints in a timely and positive manner.
  • Properly uses and cares for equipment and material resources of the school system and effectively supervises and monitors others in the care, maintenance, and use of equipment and materials.
  • Uses effective collaboration skills to work as a productive team member.
  • Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local regulations.
  • Reports absences and takes leave in accordance with Board policies and procedures.
  • Performs duties in a courteous and professional manner.
  • Performs other job-related duties as assigned by Supervisor(s).
