General Description

ONE VACANT POSITION.

Under regular supervision, performs clerical work associated with greeting visitors, answering incoming telephone calls, providing information, typing documents and correspondence, and processing documentation. May be responsible for general records management. Reports to the Director.

Duties of Responsibilities

Meets and greets all persons who enter the Community Resource Center.

Operates a multi-line telephone; directs calls to the proper departments / persons.

Assists the public with general information.

Performs filing.

Receives and/or reviews various records and reports,

Assists in controlling activities of participants in all programs.

Handles incoming / outgoing and internal calls; provides simple information.

Ensures all visitors sign in before proceeding to restrictive areas.

Oversees building rental events on weekends.

Assists and aids clients in receiving information concerning the Resource Center.

Establishes and maintains community relations with individuals that come into the Center.

Informs visitors of the services that the City of Kenner Community Development Department and Resource Center provides.

Remains aware and current with the activities surrounding / involving the Lincoln Manor Community and programs of the Resource Center.

Receives applications; reviews for completeness; forwards to appropriate staff.

Performs general administrative/office duties as required, including entering and retrieving computer data, copying and filing documents, sending and receiving faxes, etc.

Helps prepare refreshments for special events and meetings.

Receives and/or reviews various records and reports such as various program applications for assistance, daily mail, supplies delivered, work orders, memorandums from Administration, and assignments.

Prepares and/or processes various records and reports such as correspondence, electronic mail, facsimiles, copies, refreshments, weekly schedule, and appointments.

Refers to Social Service directory, City directory, Internet, electronic mail and facsimiles from Administration, policy and procedure manuals, computer manuals, codes / laws / regulations, publications and reference texts, etc.

Operates a vehicle and a variety of office equipment and machinery such as computer, copy machine, facsimile machine, multi-line telephone, etc.

Uses a variety of tools such as digital camera, standard office tools, etc.; a variety of supplies such as general office supplies, etc.; and a variety of computer software such as Microsoft Word, Microsoft Windows, Internet, etc.

Interacts and communicates with various groups and individuals such as volunteers, youth, and the public.

ADDITIONAL JOB FUNCTIONS

Assists with Emergency / Disaster situations for resident of Kenner.

Accepts donations of clothing and other items.

Works on weekends for special events; works required after-hour events.

Assists with the Lincoln Manor Civic Associations monthly meetings.

Performs other related duties as required.

Minimum Qualifications

Requires a high school diploma or equivalent; supplemented by twelve (12) months or more previous office/administrative work experience and/or training involving public contact duties as well as office support duties; or any equivalent combination education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Must possess a valid Louisiana State Driver's License.

NOTE: Proof of education will be required. This individual will be required to work on weekends for special events; works required after-hour events.

Supplemental Information

Physical Requirements: Must be physically able to operate a variety of automated machines including telephone, computer, copier, calculator, etc. Must be physically able to exert up to ten pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Position involves mostly sedentary work, but may require walking or standing for brief periods of time.

Data Conception: Requires the ability to compare and/or judge the readily observable, functional, structural or compositional characteristics (whether similar to or divergent from obvious standards) of data, people, or things.

Interpersonal Communication: Requires the ability of speaking and/or signaling people to convey or exchange information. Includes receiving assignments and/or directions from supervisor.

Language Ability: Requires the ability to read a variety of policy and procedure manuals, computer manuals, reference materials, etc. Requires the ability to enter data into computer and prepare reports, correspondence, records, etc., with proper format, punctuation, spelling, and grammar, using all parts of speech. Must be able to speak with poise, voice control, and confidence and to articulate information to others.

Intelligence: Requires the ability to apply rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in oral, written, schedule, mathematical or diagrammatic form. Requires the ability to make routine independent judgments in the absence of supervisor; to acquire knowledge of topics related to primary occupation. Must have the ability to comprehend and interpret received information and the ability to comprehend and implement basic office machinery functions.

Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions. Must be able to communicate effectively and efficiently with students, parents, staff, and with persons of varying educational and cultural backgrounds.

Numerical Aptitude: Requires the ability to add and subtract totals, to multiply and divide, to determine percentages and decimals, to determine time. Must be able to use practical applications of fractions, percentages, ratio and proportion.

Form/Spatial Aptitude: Requires the ability to inspect items for proper length, width, and shape, and visually read various information.

Motor Coordination: Requires the ability to coordinate hands and eyes rapidly and accurately in using automated office equipment and communications machinery.

Manual Dexterity: Requires the ability to handle a variety of items including computer keyboards, office equipment, control knobs, switches, etc. Must have minimal levels of eye/hand/foot coordination.

Color Discrimination and Visual Acuity: Requires the ability to differentiate colors and shades of color; requires the visual acuity to determine depth perception, peripheral vision, inspection for small parts; preparing and analyzing written or computer data, etc.

Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under moderate stress when confronted with an emergency or tight deadline. The worker is subject to tension as a regular, consistent part of the job.

Physical Communication: Requires the ability to talk and hear: (talking: expressing or exchanging ideas by means of spoken words; hearing: perceiving nature of sounds by ear). Must be able to hear and understand communications through a telephone

HEALTH INSURANCE: Comprehensive medical benefits options are provided through Blue Cross Blue Shield of Louisiana. Coverage is effective the first of the following month, following full-time employment. Dependent coverage is also available. The City of Kenner also offers voluntary insurance plans: DENTAL, VISION, and SUPPLEMENTAL INSURANCE PLANS (VOLUNTARY LIFE, CANCER, ACCIDENT, CRITICAL ILLNESS, HOSPITAL CONFINEMENT, LONG-TERM DISABILITY and SHORT-TERM DISABILITY).

LIFE INSURANCE: All full-time employees are insured under a Group Life Insurance policy through Prudential Life Insurance Company. The coverage is one and half times the employees salary, up to $300,000. The policy also provides a Basic Accidental Death and Dismemberment benefit. The premium cost is covered by the City of Kenner. Coverage is effective the first of the following month, following full time employment.

RETIREMENT SYSTEM: The City of Kenners regular full time employees are enrolled with the Municipal Employees Retirement System of Louisiana. Both the City of Kenner and the employee contribute the required percent to the system. The employees contributions are kept on account and will be refunded, if the employees leaves employment before they are retirement eligible.

DEFERRED COMPENSATION: The City of Kenner currently participates in a 457 Plan with MassMutual. This is a voluntary investment program that the employees are allowed to participate in at a contribution rate of their choice (must be within the designated maximum and minimum limits, as set for by Plan Document). The City of Kenner does not contribute to the 457 Plan.

HOLIDAYS: Sixteen paid official holidays are observed, plus any other holidays which may be declared by the Mayor.

ANNUAL AND SICK LEAVE: Eligible Kenner employees earn annual leave and sick leave. Accrual of hours will increase based on the number of years of service.

WORKING TEST PERIOD: Upon appointment to a position in the classified service, the employee shall serve a working test period of six (6) months, unless extended.

EAP: The Employee Assistance Program (EAP) is a program which provides a professional to help employees and their families to resolve problems. This service is 24 hrs. / 7 days per week, voluntary participation and confidential.
