This position is located in Lawrence, Ma.

The Department of Developmental Services - Merrimack Valley Area Office is seeking a motivated candidate for the position of Clerk I who will greet all visitors in a pleasant and welcoming manner. Ensure the lobby environment and designated work areas and shared spaces are organized and safe for all visitors. The Clerk I will be responsible for answering the phone as needed and directing calls to the appropriate staff member while also sending and responding to emails as necessary. The Clerk I will also place mail in the Mailboxes or deliver packages to staff that are in the office. The Clerk I is also responsible for preparing photocopies as requested and scanning and shredding documents, operate equipment such as postage machine, scanners, shredders and other office equipment as necessary. Participation in on-line computer trainings as necessary and perform other duties as assigned.

Duties and Responsibilities (these duties are a general summary and not all inclusive):

Required Knowledge, Skills, and Abilities

  • Strong knowledge of the English language, including grammar, spelling, punctuation, and effective written and verbal communication.
  • Ability to read, interpret, and apply applicable laws, regulations, policies, procedures, and departmental guidelines.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Ability to follow written and verbal instructions with accuracy and attention to detail.
  • Ability to accurately enter, organize, maintain, and retrieve records, files, and other information using established filing and recordkeeping procedures.
  • Ability to work accurately with names, numbers, codes, and other confidential or sensitive information.
  • Strong organizational skills with the ability to prioritize multiple assignments in a fast-paced office environment.
  • Ability to communicate professionally and courteously with staff, clients, visitors, and the public, both in person and by telephone.
  • Ability to establish and maintain positive, collaborative working relationships while providing exceptional customer service.
  • Ability to type accurately and efficiently and operate standard office technology and equipment, including computers, multi-line telephone systems, photocopiers, scanners, printers, fax machines, shredders, and other office equipment.
  • Ability to maintain a clean, organized, and professional office environment, including keeping reception and common areas orderly and sanitizing shared office equipment and workspaces as needed.
  • Ability to answer and route incoming telephone calls accurately and efficiently while providing courteous assistance to callers.
  • Bilingual communication skills are preferred and considered an asset.
  • Complete all mandatory training on time and via the computer training site.
  • All other related duties as identified.
