This position is responsible for processing incoming orders and referrals received through fax and other designated sources for the MyMichigan Access Center. Responsibilities include reviewing documentation for completeness, validating patient information, entering orders and referrals into Epic, routing requests to the appropriate workques, and maintaining compliance with Health Information Management (HIM) standards. This position may also contact physician offices to obtain missing information, clarify orders, or request corrected documentation. The Clerk I supports patient access by ensuring timely and accurate order entry while maintaining confidentiality and regulatory compliance.
Responsibilities:60% - Review, validate, and enter incoming orders and referrals into Epic. Route orders and referrals to the appropriate department, workqueue, or scheduling team. Remove cover sheets and process documentation in accordance with HIM retention and confidentiality guidelines.
25% - Contact physician offices, clinics, and other healthcare facilities to obtain missing information, clarify orders, request corrections, or resolve documentation discrepancies. Fax requests for additional information when needed.
10% - Perform quality checks to ensure documentation is entered into the correct patient record and routed appropriately. Maintain productivity and workqueue standards.
5% - Assist with other clerical and administrative duties as assigned. Participate in training and process improvement activities.
OTHER DUTIES AND RESPONSIBILITIES:
Reviews, validates, and enters orders and referrals into Epic.
Routes orders and referrals to the appropriate departments and work ques.
Contacts physician offices as needed to obtain missing information, clarify orders, or resolve discrepancies.
Maintains compliance with Health Information Management (HIM), HIPAA, and organizational policies, including appropriate handling of faxed documentation and removal of cover sheets.
Maintains productivity and quality standards established by the department.
Performs all other duties as assigned.

Strong organizational skills with the ability to prioritize and manage multiple tasks in a fast-paced environment.
Ability to accurately review, validate, and enter patient, referral, and order information while maintaining attention to detail.
Effective verbal and written communication skills to interact professionally with patients, providers, physician offices, and staff at all levels of the organization.
Ability to problem-solve, exercise sound judgment, and follow established departmental workflows and procedures.
Basic computer proficiency, including Microsoft Office applications and electronic medical record systems; Epic experience preferred. Ability to work independently and collaboratively as part of a team.
Knowledge of medical terminology, healthcare registration, scheduling, referral, or authorization processes preferred. Mandatory Occupational Safety and Health Administration (OSHA) training must be completed annually according to organizational requirements.
PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS:
Frequent interaction with patients, physician offices, and healthcare staff requiring professionalism, customer service skills, and the ability to manage stressful situations.
Ability to sit for extended periods while performing computer-based work.
Overall vision, hearing, and manual dexterity necessary to perform data entry, review documentation, and communicate effectively with or without reasonable accommodation.
Ability to handle multiple priorities, maintain attention to detail, meet productivity expectations, and adapt to changing workloads.
Requires repetitive use of hands and fingers for keyboarding and data entry.
Regular and predictable attendance required.
Physical Demand Level: Sedentary. Must be able to occasionally (0-33% of the workday) lift or carry up to 10 pounds.
