The Contra Costa County Clerk-Recorder's Office is located in the heart of downtown Martinez. We pride ourselves on developing innovative programs that bring our services directly into communities we serve. These efforts include performing ceremonies at sites that highlight the County's iconic landmarks and majestic beauty, as well as participating in different community events where we issue onsite vital records and share information about the programs and services we provide to the public. Customer service hours are extended on the first and third Thursday of each month to provide the public additional opportunities to access our services.

The Clerk-Recorder is charged with preserving and maintaining real property records of every parcel in the County in perpetuity - some dating back before Statehood. All vital events (i.e., birth, death, and marriage) occurring in the County are maintained and available pursuant to Code. The environment is fast-paced, progressive, diverse, and places customer service as our highest priority.

The Office of the County Clerk-Recorder is recruiting to fill one (1) vacant position for Clerk-Recorder Services Specialist. The Clerk-Recorder Specialist performs the most complex and technical support activities associated with the day-to-day operations of the Clerk-Recorder Division; they also provide lead direction to Clerk-Recorder Division personnel, which include Clerk-Recorder Services Technicians and Information System Assistants.

What you will typically be responsible for:

  • Examining documents and requests to ensure that all requirements are met before recording the document or fulfilling the request
  • Auditing serialized, security-enhanced paper and following procedures for maintenance and safekeeping of all security paper
  • Collaborating with team members to accomplish workloads and fulfill responsibilities throughout the office
  • Completing regularly scheduled reports provided to management and other County agencies
  • Performing administrative tasks such as voids, audits, and reviewing filings/applications for accuracy and completeness.
  • Monitoring customer service flow and implementing adjustments as needed
  • Providing training and guidance to ensure that staff have the knowledge, skills, and abilities necessary to perform their duties effectively and in accordance with established policies and procedures

Minimum Qualifications

License Required: Possession of a valid California motor vehicle operators license. Out of state valid motor vehicle operators license will be accepted during the application process.

Education: Possession of a high school diploma, G.E.D. equivalency or high school proficiency certificate.

Experience: Two (2) years of full-time clerk and recording experience in a public office performing County Clerk and Recorder functions.

or

Two (2) years of full-time, or its equivalent, experience receiving and examining legal documents affecting title to real and personal property, or indexing real and personal property and other legally acceptable documents in an escrow office, title company or other similar institution.

At least one (1) year of the required experience must have included lead duties.

Desirable Qualifications: Possession of a County Recorders' Association of California Recordable Document Examiner Certificate

Selection Process

  • Online Multiple-Choice Test: A multiple-choice test will be conducted online to evaluate candidates competencies as they relate to the job. These may include but are not limited to Attention to Detail, Customer Focus, Adaptability, Displaying Ownership and Accountability, Reading Comprehension, Building and Maintaining Relationships, and Professional Integrity and Ethics. (Weighted 100%). The assessment will be administered remotely using a computer. You will need access to a reliable internet connection to take the assessment.
