ROLE AND PURPOSE: Support the daily operations of the Student Outreach Services (SOS) Department in collaboration with the SOS Administrative Assistant. In addition to general office duties, the SOS Clerk will manage correspondence related to students served by programs under the direction of Student Outreach Services, assist with daily tasks related to management of the SOS administrative office, and support SOS staff as needed.

QUALIFICATIONS

Education/Certification:

  • High School diploma or equivalent
Experience:
  • General office experience
  • Proficient in Microsoft Word, Excel, PowerPoint, Google Docs
  • Strong organizational skills
  • Possess excellent communication and interpersonal skills
  • Ability to manage competing priorities
  • Knowledge of district systems, policies and procedures preferred
  • Bilingual preferred
MAJOR RESPONSIBILITIES AND DUTIES

I. MANAGEMENT
  • Assist with administrative matters; exercising judgement and applying experience in making decisions; relaying information in a professional manner to staff, district and community stakeholders
  • Develop correspondence regarding the SOS department
  • Communicate professionally with other departments, campuses, and outside entities utilizing proficient customer service skills
  • Maintain the department Care Closet, ordering & maintaining inventory and preparing orders (providing delivery to campuses per request)
  • Assist with development of reports, as requested
  • Maintain a knowledge of budget restrictions based on local, state and/or federal funds
  • Assist with the preparation/maintenance of invoices, MOUs, and contracts, as necessary
  • Develop/maintain SOS website and social media pages (Facebook, Instagram)
  • Manage car service & childcare requests, when funding allows

III. ADMINISTRATION AND FISCAL/FACILITIES MANAGEMENT
  • Review of requisitions and purchase orders
  • Correspond as appropriate with AISD departments such as payroll, budget, purchasing, accounting, PEIMS and TEAMs to ensure district and fund compliance
IV. SCHOOL/COMMUNITY RELATIONS
  • Maintain consistent communication with community partners of the department
  • Assist and participate as appropriate in outside activities of the department
  • Respond in a timely fashion to all correspondence within the department (phone, email, mail, etc)
V. PROFESSIONAL GROWTH AND DEVELOPMENT
  • Develop an extensive knowledge of the services provided in the department, including local, state and federal funding guidelines
  • Participate in professional learning opportunities to stay abreast of changes and trends in technology and services within the district.
