PRIMARY PURPOSE:

Initiate, control, disperse, and order fuel, parts, and supplies for BISD. Maintain accurate inventory,

parts, and service repair documentation as required through data entry to the

district inventory management software program. Conduct inventory reconciliation for the annual

parts inventory audit. Support the repair effort of all vehicles. Safely drive students to and from

school on a schedule assigned by the Transportation Department. Safely transport students and

staff to and from district-sanctioned activities. Always act in the best interest of the district, the

students, and the community.

QUALIFICATIONS:

Education/Certification:

  • High school diploma or GED equivalent preferred
  • One year experience in both fuel and parts inventory control (preferred)
  • Must have a valid CDL with an S, and P or obtain it within 90 days of hire
  • Must have an acceptable driving record according to the district's policy
  • Experience with inventory management software
  • Possess verbal and written comprehension skills and the ability to learn a new task
  • Possess knowledge of automotive and diesel parts and terminology to research replacement
  • Proficient in the use of a calculator, computer, and current window applications
  • 20-hour bus certification card or able to obtain six months of hire
  • Pass an annual physical in accordance law
  • A negative result on a drug and/or alcohol tests administered as pre-employment, random post-accident

and/or reasonable suspicion basis, following federal law and district policy

Special Knowledge/Skills:

  • Knowledge of records retention and asset inventory
  • Ability to use/learn main-frame (TEAMS) personal computer and software to develop spreadsheets, databases, word processing, and document imaging
  • Ability to use an automated inventory system.
  • Ability to type accurately
  • Ability to analyze and organize a complex filing system
  • Proficient in the use of office machines
  • Effective communication and interpersonal skills
  • Ability to drive and operate a forklift
  • Able to work productively with minimal supervision
  • Possess the ability to work well with departmental and non-departmental personnel

Experience:

  • High School diploma or GED equivalent.
  • One to three years of document/asset management preferably at a clerical level in the public education environment.
  • Minimum one year experience in inventory parts management.

MAJOR RESPONSIBILITIES AND DUTIES:

Records

  • Maintain accurate records regarding repair orders and all purchases within the Parts Department.
  • Monitor minimum and maximum inventory levels to provide fuel, parts, and supplies promptly and consistently.
  • Controls the issue of all parts and supplies from the parts department.
  • Conduct inventory reconciliation throughout the year as instructed to ensure accuracy and account for discrepancies.
  • Research replacement parts as needed by the use of the internet and provided in digital parts manuals
  • Verify pricing of parts and supplies that complies with District contracts and obtain price quotes for orders and repairs.
  • Provide documentation for all parts when superseded to a part different than requested
  • Pick up parts or arrange for delivery.
  • Receive deliveries and verify the accuracy of shipments with information on invoices or packing slips and purchase orders; record any discrepancies or damage.
  • Assign asset tags and input data into an inventory tracking system. Including physically tagging capital assets.
  • Create and maintain all required physical and electronic records and files, including computerized parts and supplies inventory.
  • Utilize a computerized system to record and track the receipt and issuance of parts and supplies.
  • Ensure proper purchasing procedures are maintained following the policies set forth by the Beaumont Independent School District
  • Provide accurate accountability for all inventory levels, supplies, materials, fuel, and equipment
  • Contact vendors for parts/supplies cost and availability
  • Maintain a clean and orderly parts room working environment.
  • Monitor fuel usage and assist with the ordering of fuel and scheduling deliveries
  • Assist management in coordinating off-site repairs when requested
  • Enforce and enhance records management policy and procedure manuals
  • Be able to digitally scan permanent documents and upload them to Google Drive or a server filing system
  • Keep files current and supply information from file data or remove files upon request
  • Retrieve archive boxes from storage as needed for research.
  • Search for and investigates information contained in files (paper or electronic)
  • Assist in the district's records management procedures
  • Answers routine questions concerning records management about the history of the parts for all bus repairs
  • Assist in the development and implementation of effective techniques for evaluating and improving the Beaumont ISD records program
  • Organize, assemble, and file large volumes of paper records in storage with the assistance of warehouse personnel
  • Follow standard operating procedures
  • Monitors equipment or processes and documents and reports problems to the supervisor
  • Assists with thorough physical inventories as requested by the supervisor.
  • Maintains a filing system of all necessary documents for future reference.
  • Keep the area safe and organized. Follow established safety procedures and techniques to perform job duties.
  • Maintains confidentiality
  • Maintain a high level of ethical behavior as is expected of all district employees
  • Attend and participate in meetings with staff to address issues as they relate to assigned areas
  • Follows established safety procedures and techniques to perform job duties. Correct unsafe conditions and report any conditions that are not correctable to the manager immediately.
  • Operate any BISD school bus and related equipment safely and efficiently while following all traffic laws, district policies, and regulations
  • Perform other duties as assigned by leadership.

EQUIPMENT USED:

  • Personal computer, industrial scanner, printer, copier, and push cart. Equipment Used:
  • School buses, emergency equipment (triangle reflectors, fire extinguisher, bodily fluids kit, etc.),
  • two-way radio, wheelchair lift, securements, fuel pump, cleaning equipment (sanitizer, rag,
  • towel, broom, mop, etc.). Personal Computer, calculator, phone, lift dolly, etc.

WORKING CONDITIONS:

Work with frequent interruptions, and maintain emotional control under stress. Prolonged driving and sitting. Regular walking, standing, twisting, climbing stairs, stooping, bending, grasping/squeezing, wrist, and shoulder flexion/extension. Repetitive hand motions, moderate carrying, reaching, and capable of lifting 100 pounds. Work outside and inside. Working around vehicles and machinery with moving parts. Frequent exposure to extreme temperatures (both hot and cold), vehicle fumes, dampness and humidity, toxic chemicals, environmental allergens, exhaust fumes, gasoline, diesel fuel, noise, and dust. Irregular hours and occasional prolonged hours.

The State Board for Educator Certification will require all first time applicants for an initial credential to be fingerprinted as part of a national criminal background check. A cost of up to $49. 00 will be charged for fingerprinting.
