The Team...

The Harbor Department is seeking to fill a Clerk Typist II (Non-Career) position in the Government Relations Division. The Government Relations Division provides strategic government relations outreach on behalf of the Port of Long Beach to elected officials, legislative staff, agency leaders and appointed officials at the local, state, and federal levels. In addition, the Government Relations Division provides legislative analysis and advocacy services for the Port in an effort to promote the Ports initiatives and programs, as well as advocate for funding needs.

This is an unclassified (Non-Civil Service) position. Non-career positions typically average 20 hours per week, up to 29 hours a week, for a total of 1600 hours in a year for a maximum of two (2) years. Flexibility is offered within typical business hours. The assignment may end at any time, but under no circumstances will it extend beyond two years.

EXAMPLES OF DUTIES

The Role...

Under general supervision, provides secretarial, clerical, and administrative support to the Government Relations staff.

How you get to contribute:

  • Answer, screen and direct telephone calls to appropriate Government Relations staff; take messages or transfer to voicemail.
  • Assist staff with project-related clerical needs, including scanning, copying, faxing and mailing.
  • Data entry, record keeping, and filing.
  • Greet and direct visitors to appropriate staff members or conference rooms.
  • Schedule meetings, and reserve and schedule conference rooms.
  • Provide callers with general information pertaining to the Port.
  • Route various correspondence or signature items; retrieve and process incoming and outgoing mail, and complete mail distribution.
  • Prepare, edit and print various types of correspondence and reports as directed.
  • Stock and organize office supplies in designated areas; monitor supply levels to maintain adequate inventory.
  • Perform other related duties as required.

REQUIREMENTS TO FILE

Required Education, Experience and Qualifications:

  • High School Diploma or equivalent preferred.
  • Requires minimum of one (1) year of progressively responsible clerical experience.
  • Prior City or Port experience is desirable.

Professional Knowledge and Characteristics

  • Knowledge of principles and practices of sound business communication; correct English usage, including spelling, grammar and punctuation is essential.
  • Knowledge of personal computers and applications such as Microsoft Office and other related software.
  • Knowledge of proper phone etiquette.

Technical Skills

  • Excellent phone etiquette.
  • Ability to handle confidential issues.
  • Ability to prioritize multiple tasks and ensure timely completion.
  • Proficient with Microsoft Office Suite including Word, Excel, PowerPoint and Outlook.
  • Experience scheduling meetings in Outlook is highly desirable.
  • Ability to navigate the Internet.
  • Ability to file alphabetically and numerically.
  • Ability to type accurately on a personal computer at a minimum net speed of 40 wpm.
  • Ability to correct errors in grammar, spelling and punctuation.
  • Ability to compile information for use in reports.
  • Must possess attention to detail.
  • Must possess a valid drivers license, or the ability to arrange necessary and timely transportation for field travel.

Interpersonal Skills

  • Ability to deal courteously with the public and be comfortable in a public-facing position.
  • Good attendance, professional appearance and demeanor is required.
  • Ability to work effectively in a team environment.
  • Requires a collaborative work style, fostering cooperation and teamwork.
  • Must be able to maintain an even temperament and have a willingness to change priorities and be flexible as circumstances dictate.

SPECIAL NOTE

This is an unclassified, "at-will" position. The appointed candidate will serve at the discretion of the Port of Long Beach and can be terminated at any time. In such an event, the candidate has no right to any appeal or grievance procedure under any rule or regulation of the City of Long Beach.

The non-career position typically works 20 hours per week, and cannot exceed an average of 29 hours per week throughout the year, up to a total of 1600 hours in a year for a maximum of two years. Flexibility is offered within typical business hours. The assignment may end at any time, but under no circumstances will it extend beyond two years.

Non-Career employees are allowed a maximum of 1,600 work hours available over a 12-month period, and are considered temporary, at-will employees who are not typically eligible for benefits. However, Non-Career employees may qualify for health coverage and sick leave accruals subject to applicable federal and state provisions.
