Job Description:

POSITION TITLE: Clerk V - Admissions and Recruitment
DEPARTMENT: Admissions and Recruitment
PRIMARY LOCATION: Fall River, with occasional travel to all Bristol campus locations.
REPORTS TO: Director of Admissions & Recruitment
POSITION STATUS: This is an AFSCME, Group 15, full-time, unit position with benefits.
SALARY: $54,868.58 annual. All appointments from outside the collective bargaining agreement begin at step 1.

STATEMENT OF DUTIES:

The Clerk V is the primary point of contact for all admissions and enrollment inquiries at the institution and provides general administrative support for the Admissions and Recruitment team. The Clerk V provides excellent customer service and support to prospective students, returning students, families, community partners, and internal stakeholders in support of the college's mission to increase access to higher education in our region. The Clerk V also provides backup support to the Admissions Operations team during times of peak enrollment to ensure timely processing of student applications.

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:
  • Serve as the initial point of contact for a high volume of inquiries related to admissions and enrollment.
  • Provide excellent customer service and accurate information to prospective students and family members by phone, in person, via email, and virtually by answering questions and making referrals to other areas of the college.
  • Oversee the management of documents received by mail and email.
  • Receive and process educational documents related to admissions and enrollment including, but not limited to high school transcripts, GED/HiSet, college transcripts, etc.
  • Provide support to the Director in tracking the departmental budget, including processing various forms such as requests for expenditure, budget modifications, travel vouchers, and other budget/expense related documents.
  • Provide general administrative support to the Director through duties such as, but not limited to, scheduling meetings, placing telephone calls, assisting with event planning, and making travel arrangements.
  • Establish a basic knowledge of and collaborative relationships with other areas of the college to provide excellent customer service including but not limited to, Admissions, Advising, Transfer and Career Services, Access and Disability Services, Financial Aid, Testing, Registrar, and College Access; participate in ongoing cross-training as needed to remain current on all policies and procedures.
  • Maintain a basic knowledge of internal policies and procedures, as well as local, state, and federal regulations related to enrollment activities, including FERPA.
  • Support all enrollment events (e.g., information sessions, workshops, open houses, admitted student events, etc.) including, but not limited to check-in facilitation, assistance with applications for admission and financial aid, campus tours, and technical assistance for virtual events.
  • Monitor and respond daily to correspondence received on department/divisional email accounts, voicemail inboxes, the Bristol app, and other related modalities.
  • Provide clerical assistance to Admissions and Recruitment staff, including coordinating mailings, assisting with communication campaigns through the CRM, and document tracking and imaging.
  • Maintain detailed office records in accordance with established guidelines via manual and automated processes; collect, organize, and report meaningful data to illustrate trends, inform decisions and to include in internal and external reporting.
  • With the approval of the supervisor, review and improve existing practices and procedures within the department to ensure all stakeholders operate with effective workflows.

  • Operate standard office equipment including a personal computer, printer, copier, fax machine, etc.
  • Utilize software applications, including Microsoft Office 365 (Word, Excel, Publisher, Outlook, and Access) to productively assist the department.
  • Utilize the college's student information system (SIS) and customer relationship management (CRM) software and other technology platforms to fulfill office functions and reporting needs.
  • Demonstrate a sense of professionalism and consistently reflect Bristol's core values while interacting with members of the Bristol community.
  • Focus on the Commonwealth's Equity Agenda by applying related best practices throughout all job functions.
  • Perform other duties as assigned, consistent with the Collective Bargaining Agreement.
Requirements:

REQUIRED QUALIFICATIONS:

Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) any equivalent combination of the required experience and the substitutions below.

Substitutions:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required (A) experience.*

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required (A) experience.*

III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required (A) experience.*

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required (A) experience.*

*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

NOTE: Educational substitutions will only be permitted for a maximum of two years of the required (A) experience. No substitutions will be permitted for the required (B) experience.

ADDITIONAL REQUIRED QUALIFICATIONS:
  • Knowledge of clerical office practices and procedures including office record keeping, office correspondence control, the types and uses of office equipment and supplies, and business letter preparation.
  • Demonstrated ability to:

PREFERRED QUALIFICATIONS:
  • Minimum of an Associate degree.
  • Demonstrated proficiency with Microsoft Office 365 applications, including Word, Excel, PowerPoint, and Outlook.
  • Demonstrated experience working with technology and student information and data management systems, preferably Banner and Argos.
  • Strong analytical and problem-solving skills.
  • Professional experience with admissions/enrollment procedures in a college setting.
  • Ability to communicate in a language in addition to English, with a preference for Portuguese or Spanish.
