    Description

    Primary Purpose

    Responsible for releasing food and beverage orders to appropriate vendors. Serve as the point of contact between the campus and vendor. Work closely with customers to ensure that their catering needs are being met in a timely manner. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.

    Qualifications

    Education/Certification/Licensure

    High School diploma or GED

    Special Knowledge/Skills

    Effective communication and interpersonal skills

    Good organizational and file management skills

    Knowledge of basic accounting procedures and math skills

    Efficient in use of computer, calculator, and basic office machines

    Ability to read, write, and understand verbal instructions in English

    Experience

    Minimum of 2 years' successful clerical experience

    Major Responsibilities and Duties

    • Release campus food orders to vendors for deliveries; communicate special ordering instructions to managers such as start of school or holiday meals, etc.
    • Work with Assistant Director, vendors, and campuses to schedule pick-ups for damaged items or items shipped in error; assist to find replacement items when a campus has a shortage.
    • Verify with the Management Specialist to ensure all events requiring kitchen staff are covered.
    • Track Cintas service calls.
    • Log caterings on shared calendar; review catering schedule daily with Catering Supervisor and work with Assistant Director on all special caterings.
    • Log and create invoices associated with concessions.
    • Work with customer to ensure catering needs are met; invoice customer using Quick Books; prepare catering journal entry for Finance Manger to review and submit to finance department.
    • Have a general understanding of receptionist's and finance clerk's responsibilities and be able to perform duties in his/her absence.
    • Ensure all invoices are broken down by category for proper coding; ensure all new products added or purchased are coded for appropriate category.
    • Report issues requiring input, direction, executive decision, or interpretation to Assistant Director.
    • Interface with supervisor, cafeteria managers, and vendors, regarding invoices, credits, and clarifications.
    • Audit invoices weekly to insure proper bid pricing is being applied. Report discrepancies to Assistant Director.
    • Maintain all invoices, reports, and vendor information using recognized filing system.
    • Count monies for vending machines concessions and special events; prepare deposits for pick-up by armored car service.
    • Act professionally with public using tact, patience and customer service skills.

    • Maintain punctuality in daily work times, appointments, and meetings.
    • Meet task completion deadlines established by supervisor.
    • Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
    • Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
    • Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
    • Perform other duties and accept other responsibilities as assigned.
