QUALIFICATIONS
  • Industry Experience: Progressive experience within the commercial facilities, property management, or commercial trade sectors (experience in HVAC, Landscaping, Trades, or Facilities BPO translates exceptionally well).
  • Premium Communication Skills: Superior verbal and written communication skills; absolute comfort being client-facing on executive-level video/Teams calls.
  • Technical Literacy: Experience navigating centralized maintenance portals (ServiceChannel, Corrigo, etc.). Prior knowledge of NetSuite is a strong plus, though comprehensive training will be provided for the right professional.
  • Team Mindset: A collaborative, professional attitude with a willingness to assist peers and volunteer for shared after-hours/weekend on-call support rotations to ensure client safety.
RESPONSIBILITIES
  • End-to-End Account Ownership: Process, vet, and dispatch commercial work requests from inception to final invoicing, ensuring project stages are managed accurately.
  • High-Touch Client Communication: Provide proactive, highly professional updates to external corporate clients and internal leadership. Conduct routine video calls (Microsoft Teams) to review account health, open tickets, and escalations.
  • Vendor Architecture & Negotiation: Vet incoming vendor quotes for accuracy, identify cost discrepancies, and negotiate basic cost structures for labor and materials.
  • Financial Scoping: Securely review and submit client proposals within established financial parameters (up to $2,000 threshold).
  • Systems Management: Leverage internal ERP software (NetSuite) alongside external 3rd-party client portals (ServiceChannel, Corrigo, FEXA, FM Pilot) to maintain real-time dashboard accuracy.
  • Cross-Functional Collaboration: Partner collaboratively across internal divisions to quickly resolve accounting exceptions and open billing inquiries.
