We are one of New Jersey's fastest-growing companion animal rehabilitation practices, specializing in orthopedic, neurological, post-operative, and senior pet rehabilitation. As our practice continues to grow, we're looking for an energetic, organized, and relationship-driven Client Care Coordinator to become the face of Alpha for both our clients and our referral community.


This is far more than a traditional front desk position. As our Client Care Coordinator, you'll play a vital role in creating an exceptional client experience, strengthening relationships within the veterinary community, coordinating educational outreach, and helping us continue to grow our referral network. You'll also have the unique opportunity to receive cross-training in companion animal rehabilitation, providing valuable insight into one of the fastest-growing specialties in veterinary medicine.

What You'll Do

Client Experience


  • Welcome new and existing clients and their pets with warmth, professionalism, and compassion.

  • Answer incoming phone calls, emails, and text messages.

  • Schedule new patient evaluations and follow-up appointments.

  • Manage appointment confirmations, cancellations, and waitlists.

  • Assist with client check-in and check-out.

  • Process payments and maintain accurate client records.

  • Educate pet parents on our rehabilitation services, treatment plans, pricing, and scheduling options.

  • Coordinate communication between clients and the rehabilitation team.

  • Help create a welcoming, organized, and positive experience for every family who walks through our doors.

Community Outreach & Referral Development


One of the most exciting parts of this role is helping more pets gain access to rehabilitation by building relationships throughout the veterinary community.


Responsibilities include:


  • Contact veterinary hospitals to introduce Alpha Animal Rehabilitation & Fitness.

  • Coordinate and schedule Lunch & Learn educational presentations for veterinarians and veterinary staff.

  • Build relationships with general practice veterinarians, specialty hospitals, emergency hospitals, trainers, groomers, boarding facilities, rescue organizations, and other pet-related businesses.

  • Deliver educational materials and marketing resources.

  • Follow up with referral partners.

  • Represent Alpha at community events, networking opportunities, and local pet-related functions.

  • Help identify new referral and partnership opportunities throughout Northern New Jersey.

Marketing & Business Development


  • Assist with referral growth initiatives.

  • Support social media and community engagement efforts.

  • Track outreach activities and referral relationships.

  • Help coordinate educational events and promotional campaigns.

  • Identify opportunities to increase community awareness of animal rehabilitation.

Administrative Responsibilities


  • Maintain organization throughout the clinic.

  • Support therapists with scheduling optimization.

  • Coordinate internal meetings and educational events.

  • Assist with inventory and general office organization.

  • Help ensure the clinic remains welcoming, clean, and prepared throughout the day.

  • Support daily operational workflow and team communication.

Cross-Training & Professional Development

Unlike most client care positions, this role offers the opportunity to gain hands-on exposure to the growing field of Companion Animal Rehabilitation.


While your primary responsibilities will focus on client care, scheduling, community outreach, and referral development, you will also receive minor cross-training as a Veterinary Rehabilitation Assistant to better understand our rehabilitation process and provide additional support to our clinical team when appropriate.


Cross-training may include:


  • Assisting therapists with basic patient preparation.

  • Learning common rehabilitation equipment and treatment modalities.

  • Helping maintain treatment areas and equipment.

  • Assisting with patient transitions throughout the clinic.

  • Supporting therapists with non-clinical patient care tasks.

  • Learning the fundamentals of canine rehabilitation, recovery, and therapeutic exercise.

No previous rehabilitation experience is required—we are happy to train the right candidate.

Experience in any of the following is a plus:


  • Veterinary medicine

  • Veterinary assisting or technician experience

  • Human healthcare

  • Physical therapy

  • Animal rehabilitation

  • Customer service

  • Medical scheduling

  • Sales or business development

  • Marketing or community outreach

  • Event planning or coordination
