Client Engagement Coordinator –Job Description
- Serve as the primary front-line contact for incoming phone calls and in-person visitors, ensuring a welcoming and professional first impression for clients, vendors, and internal teams
- Support all business units with appointment scheduling, confirmations, and follow-ups
- Manage and maintain reception areas, lobby space, and conference rooms to ensure a polished client-ready environment
- Coordinate logistics for special events including client events, internal meetings, wholesalers’lunches, and firm-wide functions
- Handle event planning details such as invitations, RSVPs, room setup, vendor coordination, and day-of execution support
- Process event-related billing and third-party reimbursements as assigned
- Oversee office operations including supply inventory, ordering, and general office organization
- Coordinate vendor relationships and manage basic facilities needs to ensure smooth daily operations
- Manage incoming and outgoing mail and packages (USPS, FedEx, etc.)
- Operate and troubleshoot office equipment including printers, copiers, stamp machines, phones, and laptops as needed
Work Environment & Schedule
- Corporate/business professional dress code
- Full-time, in-office role (Monday–Friday, 8: 30 AM–4: 30 PM;occasional evening events 3–4 times per year
