CLIENT EXPERIENCE COORDINATOR

BEAUTILAB, a premier luxury med spa in Birmingham, Michigan, is seeking a polished, highly organized, and personable Client Experience Coordinator to join its growing team.
This is much more than a traditional front-desk position. The Client Experience Coordinator is the first and last point of contact for our clients and plays an important role in creating the elevated, knowledgeable, and results-focused experience BeautiLab is known for.
We're looking for someone who combines genuine warmth and hospitality with sharp organization and a real interest in the aesthetics industry. This is an immediate opening with hands-on training provided — ideal for someone who can start within the next few weeks.
What You'll Do
- Welcome clients and create a warm, polished experience from arrival through checkout
- Answer and manage incoming phone calls, texts, and client inquiries
- Schedule, confirm, and reschedule appointments
- Manage provider schedules, cancellations, and waitlists to maximize appointment availability
- Check clients in and out and process payments accurately
- Maintain accurate client profiles, forms, and documentation
- Assist clients with basic questions regarding BeautiLab treatments, services, and skincare products
- Coordinate consultations and appropriate appointment types
- Follow up with prospective clients and consultation leads
- Rebook clients and assist with treatment-plan scheduling
- Assist with memberships, packages, promotions, and gift cards
- Support retail skincare sales and product replenishment
- Maintain an organized, immaculate, and welcoming reception and retail area
- Communicate schedule changes and client needs effectively with providers
- Assist with daily opening and closing procedures and general administrative responsibilities
- Maintain complete client confidentiality and follow HIPAA requirements
What We're Looking For
- Warm, confident, and genuinely enjoys working with people
- Extremely organized and detail-oriented
- Professional and polished in both appearance and communication
- Comfortable multitasking in a fast-paced environment
- Proactive rather than waiting to be told what needs to be done
- Comfortable discussing aesthetic treatments and professional skincare
- Able to handle difficult situations with discretion and professionalism
- Reliable and committed to providing exceptional client service
- Comfortable with technology and learning new systems
- Zenoti experience strongly preferred
- Previous experience in a medical spa, plastic surgery, dermatology, aesthetics, luxury wellness, hospitality, or another high-touch client-service environment is a major plus
- Knowledge of aesthetic treatments and professional skincare is preferred but can be taught to the right candidate
