Client Experience Coordinator

Somerville, NJ

JOB RESONSIBILITIES

The Client Experience Coordinator role is a very dynamic, fast paced position, responsible for the successful execution and tracking of daily and project business from the quote stage through completion. The CEC works with sales personnel to ensure accurate and timely service to clients.

The responsibilities of this role include but are not limited to:

Prepare Hedberg Quotes

Assist all Account Executives and Account Managers in the preparation of quotes including: converting SIF files into Hedberg quotes, creating quotes from client purchase orders and updating CET quotes from design.

Enter Product in Hedberg

Enter and maintain customer product standards in Hedberg.

Client Contact

Act as contact for client questions regarding product, day-to-day issues, lead times and order status.

Provide Information

Provide Account Executives, Account Managers and Project Managers with delivery information, order status and possible problems that arise.

Coordinate Deliveries

Coordinate deliveries as necessary with operations.

Labor Quotes

Prepare packages for acquiring labor quotes when Account Manager or Project Manager has not provided.

Forms

Accurately communicate and complete forms as necessary, including new client, quote to order conversion package, deposits, credit/debit and COI's.

Installation Packages

Prepare installation packages and send to Operations Scheduler or the assigned Project Manager

Track Orders

Work with the OFC to ensure that orders are meeting dates and tracking is on schedule. Use tools available for tracking orders including: workflow triggers, the Hedberg Dashboard/Issues/Schedules module, Punchlist reports and order status reports.

Networks

Work with other dealers for outbound networks when a Project Manager is not involved (this includes communication and installation paperwork)

Manufacturer Reservations

Place reservations with manufacturers

Open Quotes

Follow up on open quotes with Account Executive and Account Manager

Change Orders

Complete change orders and information for Sales Administrator to send to the vendor and ensure customer purchase order is updated

Support Operations Administration

Support Operations Administration in the order process to correct punch list issues that are team generated.

COM Fabrics

Reserve COM fabrics

Client Requests

Answer and follow-up on client requests including requests for catalog and brochure information.

Finance Information/ Accounts Receivable

Invoicing

Ensure GP's are maintained, determine and communicate when orders are ready to invoice. Provide internal assistance when needed with Accounts Receivable in the processing credit/debit memos and collection of outstanding invoices.

Other Duties

Perform other related duties and assignments as required.

The above duties may be supplemented occasionally with additional duties related to company objectives.

QUALIFICATIONS

  • Level of education: High School, or GED equivalent, college degree helpful.
  • Job related work experience: Minimum of 3-5 years.
  • Experience working with Hedberg is preferred but not required.
  • Contract Furniture Industry experience (Steelcase) helpful but not necessary, as we are willing to train the right candidate.

OTHER REQUIREMENTS

  • Excellent communication & organizational skills must be detail oriented with the ability to multitask with an aptitude for numbers and ability to retain information.
  • Product knowledge (preferably Steelcase) Computer skills: Windows, Hedberg, Word, Excel, Outlook.

Salary Range: $60k-$65k will be based on capability and experience.
