    Position Function:

    The Client Experience Coordinator is responsible for enhancing the overall experience of clients interacting with the College of Veterinary Medicine, ensuring consistent, compassionate, and service-oriented engagement across the clinical environment. This role supports a culture of excellence in service delivery and helps strengthen relationships with clients, stakeholders, and the broader community. This position includes promotion and support of the Coat of Excellence program, advancing recognition and reinforcement of exemplary service.

    This is a 50% appointment (approximately 20 hours per week) with an expected standard schedule of 11:00 a.m. to 4:00 p.m.

    Salary Grade: 14

    Area of Specialization:

    Office of Development

    Essential Duties and Responsibilities:

    • Foster a welcoming, professional, and client-centered experience throughout the Animal Health Center (AHC).
    • Collect, organize, analyze, and summarize client feedback to identify trends and opportunities for service improvement.
    • Forward advancement-related or donor-relevant feedback to the Development Office as appropriate
    • Communicate client concerns through established channels to support timely and consistent resolution.
    • Promote client feedback surveys to encourage participation and gather meaningful feedback.
    • Collect, organize, analyze, and report client survey results and feedback trends to support continuous improvement.
    • Escalate client centered issues through designated channels (hospital administrator or Kristie) to ensure consistency of service
    • Promote awareness of Coat of Excellence recognition program
    • Assist with additional client experience and service excellence initiatives as assigned

    May be responsible for training, assisting, or assigning tasks to others. May provide input to performance reviews of other employees.

    Minimum Qualifications:

    Bachelor's degree in communication, business, public administration, veterinary technology or related discipline

    Preferred Qualifications:

    Healthcare or veterinary hospital client services (client relations, front desk leadership, patient/client experience coordination) or,

    Hospitality or guest services management (event service leadership with high-touch customer interaction) or,

    Donor relations or advancement support experience

    Knowledge, Skills, and Abilities:

    • Experience in customer service, client relations, hospitality, healthcare administration, or higher education environments
    • Strong interpersonal and communication skills
    • Ability to manage multiple priorities in a dynamic, service-oriented environment
    • Strong organizational skills and attention to detail
    • Experience with donor recognition programs
    • Commitment to delivering a high standard of client-centered service
    • Flexibility to respond to time-sensitive needs and occasional events outside the standard schedule
    • Professional presence and strong emotional intelligence in high-touch environments
    • Ability to support a culture of accountability, respect, and service excellence

    Working Conditions and Physical Effort

    Frequent- External and internal imposed deadlines; set and revised beyond one's control; interruptions influence priorities; involves conflict-resolution or similar interactions involving emotional issues or stress on a regular basis; involves occasional exposure to demands and pressures from persons other than immediate supervisor

    Job frequently requires talking, sitting, hearing, and handling objects with hands. Job occasionally requires standing, walking, reaching, and lifting up to 25 pounds.
