We commit ourselves to the work of justice every day.Working under the supervision of the Administrative Manager, the Client Relations Representative (CRR) is a first point of contact for the organization and is well versed in operational and programmatic operations at the YWCA. The CRR helps to set the positive service-oriented tone of the agency and provides general office support including scheduling, triaging client needs, resource and referral, programmatic billing, completing reporting requirements, data entry, data compilation, database management, community engagement, and other administrative functions as assigned.Essential Job FunctionsGeneral Office AdministrationGreet clients, visitors and callers; Maintain the switchboard; Provide resource and referral information to callers/visitors; Ensure cross training in residential program and regularly support on-site functions; Assign clients to therapist and schedule appointments; Utilize agency database(s) for client record, reporting and query purposes; Process incoming payments; Process in-kind donations; Inventory and order office supplies; Maintain current employee contact list; Oversee conference room scheduling and utilization; Perform office opening and/or closing duties.Events and ProgrammingCoordinate annual holiday giving program including "thank you" letters and tracking; Assist with staff activity/recognition events; Assist manager with volunteer program.Non-essential Job FunctionsDeliver community outreach presentations as assigned by supervisor; Obtain knowledge of policies and procedures of all YWCA programs.Requirements:· Excellent customer service and problem-solving skills;· Proficient in Microsoft Office and online scheduling;· Experience with multi-line telephone;· Ability to properly navigate client/medical record software;· Clear and concise writing;· Attention to detail;· Ability to operate standard office equipment.Additional Skills/Abilities/Qualifications· Clear understanding and ability to effectively prioritize;· Familiarity or willingness to learn about crisis intervention needs/services as well as community resources;· Ability to work well either alone or as part of a team;· Clear background check;· Bilingual (Spanish/English) applicants encouraged.
