Our growing, customer-focused local business is looking for a reliable, well-organized and sales-oriented Office Manager to direct day-to-day operations. The Office Manager is responsible for developing and maintaining customer relationships, leading phone-based sales efforts, and managing all aspects of field operations.
Key Responsibilities
Customer Communication
- Answer incoming client calls and emails
- Respond to service inquiries and provide basic pricing information
- Schedule pool services including maintenance, openings, repairs, and inspections
- Follow up with clients regarding appointments and service updates
Scheduling & Operations
- Manage the daily service schedule for technicians
- Coordinate appointments to ensure efficient routes and coverage
- Adjust schedules when weather or service needs change
- Support the team in maintaining organized service record
Client Experience
- Ensure customers receive prompt and professional communication
- Address questions and service requests in a helpful manner
- Help identify opportunities for additional services when appropriate
- Assist in maintaining high customer satisfaction
Qualifications
We are looking for someone who is:
- Friendly and professional on the phone
- Highly organized and detail-oriented
- Comfortable using scheduling software and basic office tools
- Able to multitask in a fast-paced environment
- Reliable and proactive in solving problems
Preferred Experience
- Customer service or administrative experience
- Scheduling or dispatch experience in a service business (HVAC, landscaping, pool service, etc.)
- Experience with CRM or scheduling systems
