A renowned Dallas-based luxury home builder is seeking an experienced project manager to be the relationship manager between his Ultra High-Net worth clients and his firm and other trades to maintain the best possible outcome for their projects.
Role Summary
The CSM is accountable for delivering a high-quality custom homebuilding experience from preconstruction through project closeout and warranty transition. This role serves as the primary client lead during construction, communicating project delivery time, project updates, and aligning the client’s expectations as the project proceeds.
Success in this role requires balancing client service, and operational execution, in close partnership with the builder, FP management, project coordinator, architects, engineers, interior designers, and landscape architects.
Responsibilities
1) Client Experience & Communication
· Serve as the primary point of contact for homeowners throughout construction
· Establish clear expectations on schedule, cost transparency and decision timelines
· Lead regular structured client meetings and provide consistent weekly progress updates
· Proactively manage concerns, tradeoffs, and decisions to maintain trust and momentum
· Deliver professional, transparent, and highly responsive client experience
· Document all relevant discussion points and distribute to all concerned
2) Project Schedule and Design Timeline
· Communicate the master schedule to clients in partnership with the builder and FP management - and ensure Buildertrend software matches
· Drive customer and interior designer adherence to key milestones, avoiding long-lead times, and pressing client decision timeliness
· Monitor progress and proactively look for ways to recover from delays by maintaining a forward-looking approach
· Track long-lead items and ensure alignment with schedule requirements
3) Scope & Change Order Management
· Maintain a clear and current understanding of project scope (plans, specs, selections, and clarifications)
· Ensure all team members are aligned to current documents and approved changes
· Communicate the change order management process to client from request through pricing, approval, and execution
· Prevent scope gaps and misalignment through proactive documentation and communication
· Maintain a transparent and up-to-date change order log in Buildertrend
4) Quality, Closeout & Warranty Transition
· Lead the warranty walk through with client, Builder, and FP management
· Attend all builder and team walks and help ensure lists are completed
· Ensure a smooth transition into warranty with complete and accurate project records
· Capture lessons learned to improve future project delivery and document
· Document consistent warranty issues and propose solutions
How You Work (Team & Structure)
· Partner closely with a builder who leads day-to-day field execution and trade management and project coordinator on administrative communications
· Coordinate with architects, designers, and engineers to ensure alignment and clarity
· Operate as the central point of accountability across client, field, and internal teams
What Success Looks Like
· Projects delivered on schedule with proactive recovery when needed
· High client satisfaction driven by transparency and responsiveness
· Well-managed change order process with clear documentation and approvals and no surprises
· Smooth, organized closeouts with minimal post-completion issues
Scope & Project Profile
· Custom residential homes, typically $4M - $12M in construction value
· Concurrent project load: 10 homes, depending on complexity and phase
· High client interaction for a premium service experience
What This Role Is Not
· Does not manage daily on-site trade supervision
· Does not perform estimating or pre-sale budgeting
· Not an administrative coordinator role — this is a client-facing, decision-driving position
Ideal Profile
· Experience managing custom residential or high-end construction projects
· Strong client-facing communication and relationship management skills
· Proven ability to manage schedules, and multiple stakeholders
· Highly organized with strong attention to detail and follow-through
· Comfortable operating in a cost-plus, high-transparency environment
