Client Services Representative – Law Firm

We are a busy, client-focused law firm seeking a dependable, organized, and energetic Client Services Representative to join our team.

This is a fast-paced position and an important part of our clients’ experience with our firm. The ideal candidate is someone who enjoys talking with people, works quickly and accurately, and can confidently manage a high volume of phone calls, scheduling requests, and administrative tasks throughout the day.

Responsibilities

• Answer and manage a high volume of incoming phone calls in a professional and friendly manner
• Schedule and reschedule client appointments efficiently and accurately
• Respond promptly to client inquiries and route messages to the appropriate team member
• Maintain accurate calendars and client information
• Follow up with clients regarding appointments and scheduling needs
• Communicate professionally with clients, attorneys, and staff
• Prioritize multiple requests while keeping calls, messages, and scheduling tasks moving
• Assist with general administrative and client-service duties as needed
• Help ensure every client receives a professional, responsive, and welcoming experience

• Detail-oriented – accuracy matters, particularly when scheduling appointments and documenting client information
• Comfortable multitasking – you can move between phone calls, scheduling, messages, and administrative tasks throughout the day
• Team-oriented – you are willing to help where needed and communicate well with coworkers
• Calm under pressure – a busy day doesn’t prevent you from providing excellent client service

Previous experience in a law firm, medical office, professional services firm, call center, front office, or other high-volume client service environment is preferred. However, we are willing to train the right person who has strong communication, organization, and customer-service skills.
