About the Client Operations Specialist Role

The Client Operations Specialist will provide operational and administrative support to financial advisors and their clients. This role will help manage account activity, client documentation, service requests, meeting preparation, and onboarding processes.

The Client Operations Specialist will work closely with advisors, internal service teams, custodial partners, and other external professionals to ensure client needs are handled accurately and efficiently. The position requires strong organization, attention to detail, discretion, and consistent follow-through.

Role Responsibilities

  • Process account openings, transfers, cash movements, and account-maintenance requests
  • Prepare client forms, instructions, reports, and meeting materials
  • Coordinate client onboarding, account updates, reviews, and service workflows
  • Monitor account activity and help research and resolve operational issues
  • Maintain accurate client records within internal CRM and account-management systems
  • Communicate professionally with clients, advisors, custodians, and external partners
  • Track service requests and follow through to ensure deadlines are met
  • Support scheduling, document management, training materials, and special projects

Qualifications

  • At least three years of client service, account operations, or administrative experience within an RIA, Wealth Management, banking, investment, or broader Financial Services environment
  • Experience processing wires, transfers, new accounts, or other financial account activity
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • High attention to detail and a commitment to accurate, timely work
  • Excellent written, verbal, and interpersonal communication skills
  • Professional judgment and the ability to protect confidential client information
  • Comfort working with Microsoft Office, financial software, and client-management platforms
  • Associate degree or a comparable combination of education and relevant experience

Experience using Salesforce or working with major investment custodians is helpful but not required.
