Franklin Street is currently seeking a Client Services Coordinator to join our team in Austin, TX.
The ideal candidate must possess a bachelor's degree and 2 years of administrative experience. Working knowledge of Adobe Creative Suite, including InDesign, Photoshop, and Illustrator is required to be successful in this role.
Position Overview:
The Client Services Coordinator relieves the Real Estate agents of administrative, research, and analytical functions in order to increase the time the agents have available for production. The Client Services Coordinator manages a wide variety of situations and conflicts involving the clerical and administrative functions of the team and business line, relies on experience and judgment to plan and accomplish goals, and may direct or lead the work of others with creativity and latitude
- Drafts and sends Listing Agreements, Letters of Intent/Offer Letters, Commission Agreements, Lease Agreements, Purchase & Sale Agreements, etc. for execution via DocuSign and tracks execution status. Upon execution, completes appropriate checklists/processes.
- Assists in the creation of collateral including but not limited to property brochures, market surveys, market tours, proposal packages, and business development initiatives.
- Enters all transactions and required documentation into the company's in-house CRM. Completes the necessary steps in the CRM to create/send out commission invoices and process payments.
- Creates and sends invoices for the sales team and collaborates with the legal team on letters for past due invoices.
- Upkeeps current and future client/deal folders and company database, ensuring orderly information, files, and accessibility.
- Keeps track of the progress of deals and deal flow with the team via pipeline reports and tracking spreadsheets.
- Performs market research for general information, comps, tenant write-ups, etc.
- Assists the Business Line's marketing person, if applicable, in the creation of demographic maps, aerials, target area maps and reports using Regis, ESRI, and/or CoStar.
- Assists the Business Line's marketing person, if applicable, in the execution of marketing projects, including but not limited to coordinating and creating direct mailings and eblasts, ordering property signs, booking property photos/drone videos with vendor, executive summaries, brochures, placemats, pitch packages, market/tenant rep packages, and press releases.
- Ensures all listings are properly displayed on all necessary websites and/or advertising outlets (i.e., Company website, LoopNet, CoStar Crexi, etc.)
- Types and supports the production of general correspondence, memos, charts, tables, graphs, site plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Requirements
Requirements:
- 2 years of administrative experience or Bachelor of Science or Bachelor of Arts.
- Experience working in databases and utilizing a variety of marketing/media communication platforms, including web, email promotion, and digital or traditional marketing materials preferred.
- Must be able to calculate figures and amounts such as basic financial math, commissions, deposits, interest, and percentages.
- Strong ability to learn and adapt to new software, platforms, technology, and AI tools required. Fluency with AI tools for content drafting and production workflows expected.
- Professional level proficiency in computer skills including MS Office applications (Excel, Word, Outlook) and internet/application software required, along with a willingness and ability to learn new software programs.
- High-level data entry skills required.
- Beginner/Intermediate knowledge of Adobe Creative Suite - InDesign and Illustrator strongly preferred. Photoshop and Acrobat Pro a plus.
- Must possess demonstrated administrative organizational skills and the ability to multi-task in a fast-paced setting.
- Strong written and verbal communication skills (professional level English). Must be able to speak clearly and concisely, and represent the company professionally with a pleasant demeanor and customer service focus.
- Must be able to work independently with minimal direction/supervision.
- Must possess problem-solving ingenuity, conflict resolution skills, and team player qualities.
- A Real Estate license, or prior experience/coursework in the field, is preferred but not required.
