    Client Services Coordinator

    Senior Living | Full-time | Non-Exempt

    Location: Masonic Homes Kentucky - Louisville, KY

    Schedule: Primarily weekdays with occasional evenings, weekends and holidays as needed. Participation in an on-call rotation is required.

As a Client Services Coordinator, you'll play a vital role in creating a welcoming, seamless admission experience for residents and their families while coordinating closely with clinical teams, insurance providers and community liaisons.

    This position is based at Sam Swope Care Center, located on Masonic Homes Kentucky's Louisville Campus. The Care Center provides skilled nursing, memory care, palliative care, rehabilitation services and dialysis-all in one community.

    What you'll do

    • Coordinate all aspects of the resident admission process from referral through move-in
    • Verify insurance benefits and obtain authorizations for skilled nursing admissions
    • Complete admission documentation and obtain required signatures accurately and efficiently
    • Serve as a primary point of contact for residents, families and referral partners throughout the admission process
    • Coordinate with Community Liaisons and interdisciplinary teams to ensure smooth resident transitions
    • Provide admission orientation and educational materials to residents and families
    • Prepare resident rooms and coordinate move-in logistics with internal departments
    • Respond to community inquiries and assist prospective residents and families in understanding available services
    • Maintain accurate documentation and protect confidential resident information in accordance with HIPAA guidelines
    • Assist with quality assurance initiatives, marketing materials and additional business office support as needed
    • Participate in an on-call rotation and support admissions outside of normal business hours when necessary

    What you'll bring

    • High school diploma or GED required; bachelor's degree preferred
    • Experience verifying insurance benefits and obtaining prior authorizations for skilled nursing admissions
    • At least one year of experience in healthcare admissions, senior living, skilled nursing, rehabilitation or a related healthcare setting
    • Skilled nursing facility experience preferred
    • Excellent customer service and relationship-building skills
    • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
    • Strong verbal and written communication skills
    • Experience working with Microsoft Office and electronic medical record systems preferred
    • Ability to maintain confidentiality and handle sensitive information professionally
    • Commitment to providing compassionate, resident-centered service
