Job Specifications

Responsibilities

We are looking for an organized, driven, and personable individual to join our administrative team as a Client Services Coordinator. The Client Services Coordinator works closely with our clients and families to ensure they have access to the care they need, and supports our Billing and Clinical Teams functions. They will perform a variety of tasks, including:

  • Coordinate current client schedules and makeup appointments
  • Schedule new client recurring appointments
  • Coordinate Clinician schedule changes
  • Manage the On Demand flex call list
  • Ensure a full advanced schedule
  • Manage the clinic phone line and administrative email account
  • Confirm patient insurance information and collect co-pays upon check in
  • Accurately handle all client information according to patient confidentiality standards and HIPAA requirements
  • Be able to communicate copays, deductibles, co-insurance, and other out of pocket expenses to client families
  • Interact warmly with clients and families as they enter the clinic, providing a welcoming experience
  • Coordinate consultation meetings between our clinicians and outside providers, as needed
  • Maintain clinic organization/cleanliness on a day to day basis
Employment Requirements

  • Prior administrative/scheduling experience in a clinical setting
  • Leadership experience as a team lead or coordinator
  • Exceptional customer service and active listening skills
  • Close attention to detail
  • Professional phone and email etiquette
  • Basic working knowledge of medical terminology and insurance processes
  • High school diploma/GED required; Associate degree preferred
  • Medical billing and/or coding experience a plus
  • Must pass full drug panel, including marijuana, and consent to a background check upon hire*

Schedule:

  • The clinic is open Monday - Friday, 7:30am - 6:15pm
  • Looking for support with afternoon shift, 1:00pm - 6:15pm
  • Compressed schedule (4 days) may be an option
