Position Summary
The Clinic Admitting Coordinator is responsible for welcoming patients, completing the registration and admission process, verifying insurance and demographic information, obtaining required documentation, collecting payments, and ensuring a smooth patient experience before surgical procedures. This role serves as a key point of contact between patients, physicians, nursing staff, and insurance providers while maintaining confidentiality and compliance with healthcare regulations.
Key Responsibilities
  • Greet and assist patients, families, and visitors in a professional and compassionate manner
  • Complete patient registration and surgical admission paperwork accurately and efficiently
  • Verify insurance eligibility, authorizations, referrals, and patient demographics
  • Collect co-pays, deductibles, and outstanding balances according to facility policies
  • Schedule and confirm surgical procedures and pre-operative appointments as needed
  • Ensure all required consent forms and medical documents are completed prior to surgery
  • Communicate with physicians’ offices, nursing staff, and billing departments regarding patient information and scheduling updates
  • Maintain accurate electronic medical records (EMR/EHR) documentation
  • Answer incoming phone calls and respond to patient questions regarding admissions, insurance, and scheduling
  • Protect patient privacy and maintain HIPAA compliance at all times
  • Assist with front office administrative duties and support overall surgery center operations
Qualifications
  • High school diploma or GED required; associate degree preferred
  • Previous experience in healthcare registration, medical office administration, patient access, or admitting preferred
  • Knowledge of medical terminology, insurance verification, and healthcare billing practices
  • Experience with EMR/EHR systems and Microsoft Office applications
  • Strong communication, customer service, and organizational skills
  • Ability to multitask in a fast-paced clinical environment
  • Professional demeanor with strong attention to detail
Preferred Skills
  • Experience in an ambulatory surgery center (ASC), hospital, or outpatient clinic
  • Familiarity with surgical scheduling and prior authorization processes
  • Bilingual communication skills are a plus
Physical Requirements
  • Ability to sit or stand for extended periods
  • Frequent use of computers, phones, and office equipment
  • Ability to occasionally lift up to 20 pounds
